How can you build a successful Presentations team?

"What" of any presentation development makes it very clear of what need to be prepared. That's where defining the goals play a critical role to get-started with the presentation-team. This helps to form an initial rough idea of what need to be done. A personal suggestion is to make a bulleted points of "What is the Event"? "Who's our Audience"? "Where to present"? "Any real-world use-cases to present"? and relatable to the topic will make it more clear for defining the 1st step.

Knowing what you want surely helps to give clarity to your team members. It also helps you breakdown the goal into segments to be delegated. A clear objective encourages a discussion amongst team members whereby they are able to look at parts to present that match with their strengths or business associations.

Defining your goals is certainly important. It will help you keep the message clear and on point. It's also critical to understand the audience your message is intended for. Understanding this can help you tailor the message to the specific needs they have, which can have a huge impact on the overall success of the presentation.

I personally feel that the team should be like a well-balanced crew: e.g someone dedicated to investing time and effort (let's call them the Timekeeper), another skilled in giving and receiving feedback (the Feedback Maestro), and a collaborator extraordinaire. Throw in someone with a knack for learning new skills and exploring topics (the Explorer). This mix ensures a team that not only meets but exceeds presentation expectations.

Some useful team member roles: - The Coordinator: you'll want someone to keep "all your ducks in a row" on your journey. There's lots to do and probably not enough time. - The Geek: an expert in the software and hardware you'll be using is critical! You'll want someone to troubleshoot challenges, compatibility, and connectivity. - The Artist: a designer or someone with a designer's eye can help pull everything together and make it cohesive. - The Perfectionist: someone who won't rest until the presentation is as good as possible. This person will offer advice and feedback to everyone. - The Visionary: always looking at the big picture, this person knows where the team is headed and may be the primary client/customer point of contact.

It's also very important to create a team with diverse people and perspectives. Being purposeful about developing a team with people who have different experiences, both life and work, as well as different perspectives and ideas will help to provide a presentation that meets the needs of many. It can also be the catalyst to understanding flaws early.

Any time you are presenting as a team, you need to follow specific steps to be sure the whole team works well together to make the presentation a success, and these steps are as follows: 1- Select a strong team leader. 2- Ensure that everyone understands the overall presentation objectives. 3- Write your overall objective in one sentence or less. 4- Ace transitions, openings and closings. 5- Rehearse as much as you can till reach the required proficiency level.

I prefer to reference these as community agreements, rather than rules and get everyone involved in creating them together. This will allow a diverse representation of ideas and needs to help ensure everyone on the team can be successful.

Having clear roles and responsibilities that linked to successful outcomes will help everyone understand where they fit into the process and will encourage members of the team to work together toward a greater purpose.
