My goal objective is for the audience. The audience is why I am here so I would focus on location, age group, type of venue/event needed, equipment / vendors / volunteers(paid /unpaid), time and length of the event and a second location on stand by just in case. In my experience, vendors appreciate transparency with your budget and clear communication of expectations. Often, they’re willing to work with you! If you’re booking a catered event there are many ways to negotiate to cut down costs. Ask if you can remove options from a buffet for a decreased price per person. Serve more items by the dozen than per piece. See if you can negotiate bartender fees to be waived beyond a certain bar spend. Look into annual agreements, as opposed to one-off contracts. It’s important to get multiple quotes from various vendors and compare costs and services. Sometimes sharing a proposed amount from Vendor 1 opens up a discussion about pricing and discounts with Vendor 2.

When talking deals, make friends with your vendors to snag better prices and terms. Get creative - think off - peak dates, bundled services, or even bartering for some extra exposure. Check out different quotes, and don't skip the fine print in those contracts. Being savvy in your talks can save you money and amp up the value for a successful event.
