How can you balance efficiency and creativity in a shooting schedule?

Have a story vision, be organised, then flow. Do all the planning and preparation necessary to achieve the vision in pre-production. Direct the flow toward your vision during production - but remain curious if the flow leads you somewhere unplanned. Then as the elements merge in post production and your vision is shaping into reality, follow the story where it leads.

Balance all starts with a pre production meeting. That's where you discuss scope, which is how "big" the production is to be as well as the cost. Part of that meeting is creating a shooting schedule and balancing the time you have to spend. If you need to capture a process and don't allow enough time to really allow the shooter to be creative, then you won't have that balance - again you should be speaking with your shooter. I had a project that involved shooting in a factory and the producer set the entire day aside to do that... it was great. I first went through the factory getting shots I had to have, establishing shots of different processes... transition shots between processes etc. Then I had plenty of time to shoot more artsy shots.

Efficiency and creativity often times come from proper planning. Consider that some things take longer than you expect them to so allow a margin of time to allow a buffer. Clear and intentional communication is a major factor to efficiency as well. Balancing that with creativity depends on the members of the team. I think the more efficient you are and the more prepared you are; it takes the pressure off of the production and allows for creativity to flow freely. Efficiency allows for creativity.

It always helps to organize the shot and locations list and to leave room for the director to have some space to be creative. End of day review and decide if you’re still on track before you start the next days work

One thing I’ve found helpful to say is when you are not the scriptwriter or the scriptwriter is not engaged on the production process, you need to try to think like the scriptwriter. A third part thinking. It’s very helpful to optimize your production process. Once you achieve the script breakdown with the mind of the scriptwriter, when it’s not you or involved, things will naturally flow with no chance or spaces for delays or mistakes. If the scriptwriter is directly involved in the process, the scriptwriter’s voice must be heard during this period.

One thing I have found very helpful in production is breaking down your scripts, some scripts are so bulky that one may get confused on how to go about it but if your scripts is properly broken down into simple unit and actionable plan it makes the whole production process easy and any other person can continue from where you stop paradventure you decide not to be part of that project anymore or in the case of any unforeseeable incident in the future.

Pre-production is the most important area of production to have a stress free (or at least less stressful) and successful production. When you break down the script it's easier to see details that may be overlook when seeing the big picture. Break down the script between locations, actors and props. This will help you create an organized shooting schedule for you to maximize the time at each location and the time you have with your actors.

As a production director, I clearly specify my non-negotiable shots/sets/subjects during the project scoping, then allow the production team some creative exploration in bringing the project to life. Projects often expand beyond their agreed scope — and teams can find balance by accepting this as part of the plan. Strip your shot list down to it’s essence. If your shot list has 15 shots, see if you can tell the same story with 10. Reexamine those 10 shots and see if you could convey the same meaning with 5. This allows you to understand which shots you can live without. (Storyboards make this process easy for visual storytellers like us, you can even use post-it notes) Limits are healthy for our story. In fact, they make art possible. It’s impossible to think outside of the box if there isn’t a box at all. After you’ve captured the shots crucial to your story, use any additional time to reintroduce the lower priority shots, ensuring that they’re adding impact, clarity, or rhythm to the essence of your story.

When on a tight schedule and with a demanding shot list or set of deliverables I find it’s important to be strategic with the set up of your shots. This allows you to get a few different scenes, angles or shots out of a set up, so you’re not spending 20 minutes (at best) resetting, lights, camera, set design etc just to get one shot that could potentially be cut in the edit. Always try to be efficient and make sure you’re aware of the difference between the must haves and the nice to haves.

Working in order of shots to screen always makes me feel like I'm synced! Keep in mind sometimes things won't go as planned and you should always shoot harvest to easiest in my opinion and keep in mind the lighting and location availabilities. Lastly on set talent schedules!

One thing I’ve found helpful to say is a logistics professional can be hired for the project. Many producers try to do everything when you are talking about the logistics process but they don’t have the same expertise than a professional of the field. It’s not too much to have a production engineer to reduce costs and expenses. When you need a huge logistics operation, these professionals will be extremely helpful and you will save money, time and energy to build this process with accuracy and efficiency.

If you have a tight shooting schedule, you must have a great logistics plan to maximize the outputs. My tip is always to communicate with the drivers and cameramen, tell them what shots you need and what locations are required. You will be surprised how it facilitates the process and the itinerary plan. Because, 1. the driver knows well where they can park, and what locations are close by 2. the cameramen may provide you with other suggestions for similar themes or visual effects in a closer location.

Communication is the Key! If you can convey your plan to your team, it means you're on the right track. This not only brings you all on the same page, but would also make sure that you know exactly what you are doing. Sometimes we ourselves cannot visualize what we want, and telling the plan of action to our team puts us on the right track.

Before you set the shoot schedule, the producers, director, and assistant director should all have input on how many pages per day you willl be shooting. Organize all the shots you plan to do in a given day on a spreadsheet or spreadsheet based app to see if its a reasonable schedule. Once the schedule is set, dividing the schedule up so that each shot takes up 1/8th of a page can be a great way to organize the plan in a visually digestible way for the team. Each 1/8th of the page should show so we’d know how long each scene is, where it takes place, and which actors are in it. While we can't plan for spontaneously creative ideas, I like to set aside time for them in the schedule. This gives us breathing room for creativity when it happens in the moment when filming

In my experience, it is often times difficult to be creative or come up with a creative idea "on demand." So let the ideas flow organically and keep notes to implement and apply the creative solutions when needed.

Utilize 4K and the ability to get a closeup and a wide in the same shot. Of course, it comes down to post production with that but it saves time if you can shoot wide and know you’ll be able to punch in for the closeup and not have to record each separately.

On a High End production.. There is no time to be Creative and Flex. Unless you have a specific problem. Some Agency have been working on that campaign / script for maybe a year. And they sold that there Client. If you want to be Creative or change the script. Do it in advance.. So everyone can sign it. If you all of a sudden gets creative on set. Everyone needs to be involved.. And that is time consuming.. And a bad idea. And you will look an amateur. Amateur' don't get the next job Lets goo.

To prepare for uncertainty, I always have plan B or C in case plan A doesn't work. I will also communicate with my manager or clients in case A doesn't work, is that ok if we use plan B or C instead? For example, we may have more interviewees for back-ups, more locations to film in case it rains...etc. It is important to be flexible and open to new suggestions.

Counterintuitively, creativity thrives under constraints. Use efficiency as the main constraint. When you’ve created five shots to convey a scene, let reduction - cut three shots - drive your creativity to a new level by conveying the same scene in just two shots.

In pre-production don’t only schedule extra time for hiccups but for serendipity. Blocking out some time for no constraints, creative shooting allows you to act on your (or your teams) creative instinct(s).

The only thing for new agency producers to watch out for is having the Director go off shooting their personal alt. takes for their reel without the clients being aware of the use of time in the shoot day; and what they are shooting is not aligned with the clients core messaging you’re there to shoot. If that is happening the agency producer need to have a “walk with me, talk with me” meeting with the Production Company Producer, Prod Co Ep if they’re on the shoot, Prod Co. Principal if they’re on set, and have them reign their Director in and spend any extra available shoot time in the schedule plussing the clients core message.

I find it's crucial to keep your team informed during the production. A 10-minute meeting with the whole team at the begining of the day and after the lunch break goes a long way. During that short meeting you can explain the following 3 steps and that sets the tempo further on. Furthermore a wireless intercom system for the department heads is a great tool to have and it provides an open line of communication at all times. That also signals you faster when your team needs a breather and when you should take five to regroup and reorganize.

Pre - Production...Pre - Production...Pre - Production... Give as much time as you can to this process of film making. If you have planned this part. You will be able to manage the costs wisely and make scope for more creative freedom in the Production process. With simplicity every notion of complexity can be projected on the screen.
