How can you avoid time management mistakes when presenting?

If you can, ask your audience beforehand what they are looking to learn from your presentation. This way you can curate your message to your audience. Practice your presentation and time yourself. Add breaks to ask questions and do a pulse check on your audience.

It is essential to have a knack for effective time management, which is important while presenting to ensure that one covers their key points within the time allotted. There are several parameters one needs to consider. Here are some of the pointers that I feel are crucial and I am listing them below: 1. Practice your own speech 2. Focus on key points and avoid unnecessary details 3. Have a contingency plan for managing unexpected disruptions while answering questions from the audience without sacrificing your key messages 4. One needs to monitor the pace at which we speak? 5. Above all, conclude the presentation well

To manage the given time, Firstly, your presentation should have pointers and fewer sentences. If you have a text-heavy slide, make your notes out of it and say it accordingly, don't read what is written, this saves a lot of time. I always try to analyze questions from each slide beforehand so that you can add that point already in the slide so questions from the audience will be solved already. Practice your presentation like you practice for Drama. And No questions in between always at the last. These are my thoughts and can be improvised according to situations.

One things that helps me from my experience is to have a clear objective, a purpose of what you are trying to present, try having time allocated for each slide, constantly engage with your audience and always make sure you have a Q&A slide

I have found this helpful as it helps me in most cases to be sure and aware of time. Agreeably, I use 5% for setting up 10% for introduction,70% for the main points,10% for conclusion and questions,5% for packing up. I ensure all this has been rehearsed before the specific day.

I believe the most important aspect of a presentation is connecting with and engaging your audience. If you are giving an excellent presentation it won't be impactful unless the audience is attentive and invested. Pay attention to and feel the energy and focus from your audience. Go deeper into topics that get them to lean in or take notes, and more briefly over topics that cause them to look down to their phones. Or try to out a different spin or value prop onto the idea if you see their attention wandering.

I've found it helpful to ask a colleague in the audience to keep time and quietly signal to me when I'm half way through, when I have 5 minutes and when I have 1 minute left.

When presenting it is important to stick to the time allotted but also if the content needs more time in order for the audience to understand, it is important to ask for that time needed. You cannot go too fast or too slow. Both lose the audience. I have learned that you have to capture the audience's attention and therefore include fun facts or something exciting to ensure you have their attention. Read facial cues, sometimes these cues speak more loudly than words.

As often happens, you may experience technical difficulties. If the power goes out, you should always have a back-up plan with manual/printed information so that the audience can follow along. Plan for any interruptions, whether questions, emergency calls (designate someone to answer your phone) or a change of shoes (females will understand-if wearing heels). One time I was presenting and near the end, I was asked to stall because the next presenter was running late. I turned the session into an interactive session allowing the audience to give their input until I got the all clear. So, a game or something exciting should always be included in the event it may be needed. Lunch may not be ready etc.

Build in Buffer Time: Account for unexpected interruptions, questions, or technical issues by building in extra time. A good rule of thumb is to plan for your presentation to be about 10-20% shorter than the allotted time.

Be humble. It's not about you and your expertise. It's about the audience. Respect their time and their capacity for new knowledge.
