How can Plant Operations Managers ensure effective communication with other departments in the supply chain?

Overall perspective of all areas is known to the Plant Manager.It is important to ensure effective communication of all the departments and thereby effective team work It is his duty the departmental objectives are aligned to the organisational objective .It is his job to ensure job role, responsibility authority and accountability is clearly defined and there is no overlap resulting in confusion . The objectives of each area shall be different but some objectives may impact other areas so these objectives have to be taken by concerned departments.

Common Goals Clarity: Goals should be clear and specific. Everyone should understand what the objectives are. Measurable: Goals should be quantifiable, allowing progress to be tracked. Time-bound: Set deadlines to create urgency and focus efforts.

One good way to guarantee alignment around all operations departments are the tier meetings. This is a simple way to guarantee information flowing all levels with a short-term issues resolution purpose. At these meetings, a multifunctional team review last day results and address actions to the issues, responsible and closure dates. This is a terrific method to agile continuous improvement.

We utilize Kanban boards to view the different project status and pending tasks. We review it once a week with the key responsibles of each area were in a half an hour meeting we solve any problem that interfere with our plan. If it can be solved in that meeting we assing tasks and due dates for each area and add them to the board. We review it every week to make sure everyone is on the same page

Developing work processes and rituals is crucial when leading a plant to have agile and timely communication channels. For example, I have used a daily management system with the participation of all the areas that are involved from end to end. In the same way, these meetings, whose main objective is to review performance indicators and take action, must be conducted at levels so that the discussions and solutions are as close as possible to where things occur. On the other hand, for higher-level indicators or operating results often monthly, other spaces I have used are meetings with sales, marketing, and finance.

Behavioral and technical assessment routines with teams must be part of the department. This can help keep everyone informed about the progress, performance, and challenges of the production process, and allow for timely, proactive adjustments and improvements.

Practice open communication with all department at all levels. Any feedback whether positive or negative should be evaluate objectively. And provide respons in timely manner.

Supply chain team reports to the Business owners and hence are the bosses of the business. It is very important that Production team is supported by the Technical services and Maintenance teams towards achieving the business goals defined by the Supply chain team. For this Supply chain team must understand the plant design capabilities and stretch limits in collaboration with Plant tech services which can access design documents and the Production team which ensures plant production efficiencies in the site.

One to one communication with clear goals and purpose to achieve the set target together, when OKR's ( objective key results) are the base for establishing key results

You need to actively listen and help engage the team, I've seen a lot of managers doing the opposite. Result: horrible weather and unpleasant environment.

Plant managers also need to inculcate the habit of listening to their subordinates. When. The subordinates realize that the managers listen to their suggestions and contributions, the gap of communication will easily be closed and this will also foster feedback from the subordinates regarding whatever instructions passed by the managers. Communication is a two way process and this neyed to be strictly adhered to

Remember, small consistent steps has an exponential impact given the time. Give to whom the credit is due. I believe that one important measure of mature leadership is the confidence to raise a another's hand for a success and raise your own hand for a mess.

People might have their own communication style. So learning to communicate the same message to people in the way they receive it best is critical. Example: You can talk to a front line worker about the wise usage of nuts and bolts and wrenches and widgets, but to the CEO you will talk about minimizing waste, tool expenses going down, and efficiency gains in production. Same message but communicated different.

Best way to communicate with the managers is to have a person-to- conversation every day at a particular time, and a place like conference room, or at a "standing meeting " in the shop floor itself. This meeting should be for max 15/20 minutes only, where all managers will be express their problems, and at the same time they should know about any instructions, from plant head, regarding new targets or failures, quality issues, maintenance bottle-necks etc.

Having any previous experience which has improved relations before. Don't be un willing to use the same technique and skills to achieve the common goal. On time deliveries.
