Here's how you can navigate complex problems in a professional setting.

One of the best learning from my experience dealing with complex problems is to identify the stakeholders/customers and discuss with them individually to understand the scope and definition of the Problem. This essentially is the "Voice of the Customer" in the Problem Solving. A lot of times, your initial hypothesis about the Problem may change completely by the time you complete the Voice of the Customer sessions. Added benefit of these sessions is also bringing the key Stakeholders/Customers on the Journey of the Problem Solving, which will help them embrace the solution as well.

I have found that starting by acknowledging the intricacies of the problem at hand is often helpful. When policymakers started implementing India's massive Aadhaar biometric identification system for 1.3 billion people they broke down the issue into its constituent parts, and assembled a diverse team to tackle each aspect. Encouraging open communication and collaboration, fostering an environment allows innovative ideas to flourish. Being willing to adapt and iterate as new information arises, just as the Aadhaar system evolved to reach over 1.3 billion people.

Many problems that appear to be complex may just be a series of smaller problems that need to be detangled to get to the heart of what is wrong.

One way to look at a complex problem would be to break it down into small problems. Additionally, one also needs to understand where the complexity lies and is there a way to make it simpler (relatively) by gathering more information. Finally, I would also advise to articulate the problem clearly because if you are clear in your thinking then you will be able to think about the solution clearly

An example I've seen that once you see problem in parts and see data thoroughly you get trends which may give you root cause of the problem.

Once the problem is thoroughly understood, break it down into manageable components. Analyze each part to uncover connections, patterns, and key drivers. Consider various scenarios to understand implications fully. This methodical approach helps identify root causes, not just symptoms, leading to more effective solutions.

I always consider what the goal or intended outcome may be. If the goal or intended outcome isn't identified you can be aimless in your endeavor. It also causes trouble when you are trying to quantify impact of your initiatives.

Deconstruct the problem into smaller, more manageable components. This makes it easier to understand and tackle each part systematically. Use tools like flowcharts, mind maps, or fishbone diagrams to visualize the problem’s components and their interconnections.Collect as much relevant information as possible. This might involve data analysis, reviewing past cases, or consulting experts. Comprehensive data gathering allows for a deeper understanding of the problem and informs better decision-making.

While it's important to navigate complex problems in professional settings, the idea of embracing complexity may lead to a misconception. Embracing the reaction to a problem rather than the problem itself could inadvertently drive thought leaders to seek out irrelevant issues. Instead, it's essential to analyze thoroughly, prioritize wisely, and engage others in collaborative problem-solving. By focusing on decisive decision-making and regular reflection, professionals can navigate complex problems effectively while staying mindful of what truly matters.

In the process of professional decision-making, discerning the urgent from the important is very essential. Effective leaders prioritize tasks based on their impact & urgency, ensuring resources are allocated where they're most needed. Think of it as steering a ship through stormy seas: not every wave demands immediate attention, but skillful navigation is essential to reach your destination safely. Prioritization isn't just about managing tasks; it's about optimizing outcomes & mitigating risks. Mastering this art empowers leaders to focus on what truly drives value for their organization, propelling them towards success amidst the chaos of everyday challenges.

A powerful thinking tool for prioritization is answering the following questions in this order: 1. What is the probable future state of the environment in which we will be in x years? 2. What is our desired future state in light of our answer to question 1? What and how do we want to be then? 3. Which activities would bring us substantially closer to our desired future? 4. How big is the effect of each of these activities towards our desired future? 5. How much investment would each of these activities take (time, money, mind, energy)? 6. What is the result of (effect divided by investment) of each activity? 7. What is the first, second, third ... most powerful activity? Now you have your priorities.

I find focus to be important to getting things done. Having worked with people who try to do everything, I realize that is an ineffective approach given natural constraints on time and resources.

Not all aspects of a complex problem are equally important. Use techniques like the Pareto Principle (80/20 rule) to identify the most critical issues that will have the biggest impact if addressed.Prioritize tasks based on their urgency and importance. Develop a matrix to categorize tasks and focus your efforts on those that are both urgent and important, while scheduling less critical tasks for later.

A hallmark of an effective leader is one who seeks open communication and to create a safe environment for honest and direct feedback by subordinates. I have encountered leaders who engaged in favouritism, siloing people they did not like, and indulging in blame culture. Those are self defeating actions and mindsets, which inhibit collaboration and motivation.

Navigation of complex challenges demands a team effort. Collaborating with colleagues, stakeholders, & experts brings fresh perspectives and insights to the table, fostering innovative solutions. Embrace diverse viewpoints to gain a comprehensive understanding of the problem. In this collective approach lies the key to unlocking truly transformative solutions.

By using a collaborative leadership style to engage others you can send a message saying "Your opinion matters"; "You're worth listening to". Diversity in thought and perspectives are valuable assets, use them. However, and this is VERY important, you must consider the national culture you're in, otherwise, you risk being perceived as weak, or unwise, and ultimately not as a leader worth following, so prepare yourself. Engaging a diverse people is of course important, but so is the timing. Bring people on board at early stages, especially if the problem is complex. Make sure their ideas are really captured in the input and brainstorming stages before the design stage for co-creation for not only engagement, but to bring ideas to tackle the complex problem.

After thorough analysis & consultation, it's time to decide. Let's set a deadline to avoid analysis paralysis. We've gathered insights & information, now let's choose the best course of action. Be bold, but adaptable. Let's make a decision & move forward confidently.

Consider the short-term and long-term implications of each option.Decisiveness is crucial. Make decisions based on thorough analysis and sound judgment. Avoid the paralysis of over-analysis by setting a deadline for decision-making. We have a tendency to either focus on the forest or the trees. In complex situations, it is necessary to have a dual focus. An example: I believe that CPS in Norway too often harm families, both through action and inaction. Then, I must find support for my theory in individual cases, but also look at the system as a whole. What are the drivers for the system being as it is? Are there sociological, political and psychological reasons for our current system? This constant change of perspective allows me to either discredit or strengthen my hypothesis.
