This may be an overstatement considering your expertise in your field of study, but it points out an important aspect of communication. In a room full of people from different departments, titles, backgrounds, expertise, priorities, expectations, concerns, pain points, purposes and sometimes even languages, it’s easy to get not or misunderstood. You should always know your audience in advance. Getting ready for a meeting requires a lot of preliminary effort, including extensive and detailed research on aforementioned aspects. Ask your colleagues, ask customer contact points, check people’s titles and backgrounds from LinkedIn, etc.

Based on my initial 1 to 1 session I am able to pick up the adequate goals that will resonate to each of key stakeholders as I build up my communication (it could be project update, seeking approval, issue escalation, risks review). In my experience acknowledging a stakeholder’s concerns is indeed crucial for building trust, providing a solution direction is equally important. Acknowledgment alone might be seen as artificial gesture if not accompanied by tangible steps toward resolution. For me, the more effective strategy involves a two-step approach: (A), acknowledge the concern to validate the stakeholder’s feelings and build initial trust; (B), provide a tentative preliminary solution direction to demonstrate commitment to resolving the issue. This approach ensures stakeholders feel heard and sees proactive steps being taken, thereby strengthening trust and collaboration.

Active listening must be practiced to ensure a thorough understanding of stakeholders’ perspectives and concerns. This approach not only fosters a collaborative environment but also enhances the relevance and accuracy of the information provided in response.

To always keep in mind, which is not easy once you are fully focused on your deliverables, timeline and budget. Active listening means as well encourage the less vocal persons to express their views and opinions. I alway to try to leave 15-30 seconds after the last word of the person before I start to talk. Try it is very powerful, and you can not imagine how much more you learn.

All mythologies have a very complete framework of different types updates and when to execute them. What I have learned that an informal catch up with key stakeholder is very efficient. Try to have a short 15 minutes catch up meeting with your key stakeholder (I can be a coffee, it can be a walk outside the organisation, or virtual morning coffee)

4. Continuous Learning: Emphasizing continuous learning and professional development is crucial, especially in fast-evolving fields like cloud computing or artificial intelligence. Evaluating team members’ engagement in learning opportunities and their application of new knowledge is essential for individual growth and organizational innovation.

Ensuring clients and stakeholders are regularly updated is paramount. Whether it's via email, project management tools, or meetings, consistent communication helps manage expectations and reduce uncertainty. For instance, when implementing a new information system, providing weekly progress reports detailing completed tasks and upcoming milestones is vital. This transparent approach cultivates a positive relationship and keeps everyone adequately informed.

I am currently reading a book called, 'Story Telling with Data,' by Cole Nussbaumer- excellent read. I found myself doing many of the things mentioned, but I want to highlight a few areas: 1) minimal is better- avoid the clutter of useless graphics and factoids not germane to your communication. It creates a lot of mental compute for your readers. 2) make your points abundantly clear- find ways to succinctly state your points without massive explanations, use color, size, underlining etc. to your advantage to drive the point home, but don't create clutter in the process. 3) Know when and how to use tables vs graphs- based on audience.

The use of visual aids, such as graphical data presentations and schematic diagrams, is recommended to facilitate the comprehension of complex information. This method aids in breaking down complex data sets and processes into understandable segments.

From all the tools available the best for me is a white board. And you create on the fly the diagrams, flowchart or bullet points. In some case you need to have it created before so that you do not need to think how to draw or what to write. You will you audience is much focused and present, it makes a big difference.

Large presentations with complex visuals or text-flooded slides always causes people to lose interest on what you are telling. People usually get along better with visuals, especially when they are simpler. Even it’s a workflow, a diagram or a picture, try to keep it as simple as possible. Remove unnecessary items and don’t keep them just to show off. Don’t forget! You are not there to prove how capable you are at PowerPoint.

By proactively considering their viewpoints and expectations, you can customize your communication strategy accordingly. This may entail brainstorming potential concerns or inquiries they might have and preemptively addressing them in your communication materials. Furthermore, by soliciting input from team members or colleagues with diverse perspectives, you can refine your approach to ensure it resonates effectively with your audience

A systematic feedback loop should be integrated into communication practices to collect and analyze stakeholder feedback. This continuous feedback mechanism is vital for the iterative improvement of communication strategies and project outcomes.

It is important make everyone feel happy, it is not a bad thing to have issues or problems, unless you ignore them. In fact if you can resolve any issues without drama or stress then again is it a positive thing that builds confidence and trust in you and your business.

Listen carefully, be respectful, and keep your advice rooted in the purpose of the organization. There are always ways to satisfy that may not be how the need was presented.
