I agree with comments around clear communication channels. But I’d take this a step further and ensure that some of those communication channels are dedicated to non-work conversation. Set up channels to promote shared interests. Just for small talk and joking around. And try not to stifle that chat. When people were regularly in the office part of their time would be spent chatting to colleagues about these non-work topics and this helped build positive relationships and a sense community. This can still happen in a virtual space, but because the evidence of these conversations is a lot easier to see some may view it as a loss to productivity. This is the wrong way to look at it. It’s the promotion of working relationships.

People in remote setup don’t really want to communicate because they are not connected to the objective. They want to perform tasks assigned to them and don’t really want to think about the big picture. It’s like someone running flight commands and not looking where plane is actually going. To engage people it is important that are aligned with objective. This engagement and alignment causes enthusiasm and desire to communicate. As a lead connect with team, clarify the objective and enable them to put their perspective.

Engagement brings about success remotely or hybrid, the more people engage some issues are easier resolved through remote lunch breaks. It might be useful to have and incorporate an online wellness desk so as to independantly resolve conflicts and assist members that might be having serious challenges of working along together. Open policy should be encourged conflict resolution manuals and policy documents should be shared with all employees, on their daily dashboards and website. This is all to encourage urgent resolve on conflicts

In my experience, virtual collaboration and communication works best if people had a chance to get to know each other in person. The non-verbal part of our communication is important for us to fully understand the message. Some parts of the communication simply get lost when we collaborate and communicate virtually. As a consequence, getting to know someone, aligning goals and strategies, resolving conflicts and being creative is easier when meeting in person. When working together virtually, and if possible, let the team members meet in real life once in a while. This will allow the team members to establish personal relationships. Calling someone we know and collaborating virtually is so much easier with someone we know personally.

I have been a longtime believer and follower of removing communication gaps and completion of communication loop. So while it is important to set expectations, establish channels, monitor etc. it is vital to circle back and inform all relevant stakeholders what has been agreed or completed (as the case may be), so that no one is left guessing or assuming about the logical conclusion of any activity. This can be applied to all situations, whether they are big formal project level communication pieces, or day to day conversations between individuals. The lesser the guesswork and fewer the things where dots are left unconnected, the better it is for trust and collaboration in relationships.
