My advice: 1. Decide on the date and begin preparing in advance based on the magnitude of the event. 2. Brainstorm ideas with your team. 3. Make a clear roadmap and budget. 4. Gather volunteers and classify them into different committees. 5. Make separate checklists for each committee. 6. Hold regular meetings to assign tasks and monitor progress. 7. Spread invites or flyers at least 10 days prior and follow-up with reminders every 3 days. 8. Collect participation records to get an estimate of attendees. 9. Place print or food orders at least 4 days before the event. 10. Set up the location 1-2 days before the event. 11. Circulate the MTM 2 days before the event. 12. Give a final go through. 13. Collect feedback after the event.

I have found that the team are the superheroes of any event. Each one has a talent. Each one has a superpower. Giving the team the timelines, metrics, hard data, requirements and most important the resources sets the ball in motion. I always think of a Rube Goldberg Machine when planning an event. Each piece has a part to play to get the ball to the end. Empower the team not only gives them ownership (necessary), but keeps the ball rolling. The timelines come with checking in and ensuring each member is on schedule for their part of the machine. When it all comes together it’s amazing to see the parts play out in a great event.

At the day of the event, the organisation team can be very stressed - which is normal, as there are so many unknowns: is everything going to go as planned? Is the attendance rate going to be high enough? However, we started to reduce this level of stress on the event day by telling our team that 99% of what we could control when organizing the event has already been done. On the event day itself, there is so little that we truly have control over, so it's better to enjoy what is about to come instead of stressing about what could go wrong - and trust that the hard work we put in beforehand is going to pay off.

Over-staff volunteer departments, leading to inactivity and decline in enthusiasm. 3. Not providing facilities or resources to volunteers for getting work done. 4. Failure to update, coordinate, or follow-up with your team or participants. 5. Keep no time slots for audience interaction. 6. Insufficient hospitality or unsuitable venue. 7. No collection of feedback from the attendees and not keeping them in the loop for future events.
