Here's how you can convey deadline extensions or changes to stakeholders in your career.

As a project manager, I have had to deal with this situation many times, and one thing I have learnt over the past 9 years is, before you approach your Stakeholder, it is important to perform an assessment alongside your SME/ technical team. This is to get you information on the impact of this extension to the project budget, resources and overall, the business needs. This will automatically build trust while communicating effectively with your stakeholder as you are coming from a place of due diligence, with potential solutions for next steps.

Here are my simple steps. There’s a who, what, when and How. 1. Communicate Effectively 2. Address stakeholders concerns 3. Update Risk Management Plan 4. Review resource allocation. 5. Check Funding Adjustment 6. Address stakeholders concerns again.

Ever heard the saying: "transparency is key" - nothing is truer. Over the past 9 years, staying transparent with both internal and external stakeholders while providing information on roadblocks/ challenges on my projects, have helped greatly in building trust.

Here are my Simple steps. 1. Do not say Yes, when you mean to say No 2. Discuss impacts 3. It’s not always about You!, think about the project 4. Your word is your bond. 5. People trust you, cos you say things as they are not magnifying problems or solutions more than they actually are.

Don’t leave people hanging, they might need help. Reaching out shows concern for a person and the project. Use different means - it’s always appreciated.

Additionally, maintain open communication channels, prioritize transparency, and seek feedback to ensure stakeholders remain informed and engaged. Keeping stakeholders updated and involved throughout the process fosters trust and collaboration.

The final point I would like to make is that building these skills take time. As a young professional few years back, while trying to stay transparent, I would have almost breakdown moments but thankfully, I had empathetic managers who served as guides and a great support system, providing me guidance on how to interact and negotiate with external stakeholders, especially when challenges are experienced. So, do not be afraid to seek counsel and ask questions. It would make a world of difference.
