We wake up every day with many changing parameters.Customer demands can also change for many reasons. First of all,we have to review our road map by thoroughly analyzing the reasons for the changes in demands. If changes are really necessary, we have to review whether there is a disruption in the delivery dates of the project before the negotiation. Using a constructive language will ensure that our team is in synergy and harmony for the project. Making a sincere evaluation, emphasizing that it is working, paves the way for positive results. We have to clarify priorities according to the estimated completion time of the project with possible issues that cannot be changed. Last of all, maintaining mutual trust is the most important principle.

We continually educate our clients on the value we aim to deliver, emphasizing that achieving this requires both time and effort, which cannot be compromised. When deadlines are rigid, we recommend alternative approaches by breaking down key objectives into phases and prioritizing the most critical tasks first.

To effectively negotiate dates, speak openly with clients about project scope and limits. Prioritise projects based on their urgency and impact. Understanding the client's needs and project difficulties can help you set realistic timetables. Maintain flexibility to accept adjustments while keeping a clear timetable. Document agreements to avoid misunderstandings. Maximise team productivity by using their skills. To moderate expectations, provide clients with progress updates on a regular basis. Plan ahead of time for any delays and contingencies. These tactics guarantee that projects go well and clients are satisfied.

I believe that it's best to clear out the differences on Day-1 & bring down the unrealistic expectations. I have done it multiple times & never it has backfired. Though the meeting gets heated up, many times come at the verge of loosing the assignments/order but a genuine customer (which mostly all are) will understand & share the actual priorities. Once that is settled then ensure that the realistic set targets are delivered. Any project is bound to get change request during execution & some buffer should be considered during start itself. Always try to gather the priorities of the customer & see to it that those are fulfilled as per req. Rest all gets managed automatically.

There's no magic pill here. Attempts can be made to keep expectations and communication clear. The following might be useful: 1. Defining and agreeing on a clear scope and deliverables, documenting it and reviewing at regular interval. Defining out of scope elements is important 2. A regular cadence of interaction where progress is reviewed and expectations aligned/realigned 3. We often overfocus on the 'what' - needs to be done/is agreed - but it's important to align on the 'why' upfront. The what and how can follow, and it helps put things in perspective What's the context? Why consult at this stage? What will the output feed into? How does it impact the client and their org? What are the key questions to be answered? are worth probing
