It happens to me couple of times, I followed the below to prevent this from occurring again 1. Use updated spare part catalog 2. Order the parts only by their unique product code not by there name. 3. Reach out to the supplier if you don't have clarity on certain codes
-
When ordering spare parts, ensure the following steps: 1. Inspect the Part: Check compatibility and quality, and request technical data sheets or brochures if available. 2. Provide Clear Information: Share details like the serial number and manufacturer information to help suppliers identify the correct parts. 3. Contact Multiple Suppliers: Compare prices and consider various options, including compatible parts. 4. Document Details for Future Orders: Record part codes, prices, and supplier information to streamline future purchases.

This can happen to anyone ,To avoid receiving the wrong parts again, consider taking these steps: 1. Double-check the Part Numbers to Confirm with the supplier that these match what they are shipping. 2. Provide Detailed Descriptions. 3. Confirm Order Details: ask the supplier for a confirmation email listing the specific parts they intend to send. 4. Request a Sample or Photo:This can help verify that the items match your requirements. 5. Label with Serial Numbers: If applicable, ensure each part has a unique identifier. 6. Inspect Upon arrival to confirm accuracy 7. Communicate Feedback. Taking these precautions will reduce the risk of errors in future orders.

Contact Supplier Immediately: Reach out to the supplier as soon as possible to report the issue. Provide them with details such as order number, parts received, and parts expected. Provide Evidence: Take clear photos of the incorrect parts alongside your original order documentation. This can help the supplier understand the mistake and expedite the resolution. Clarify Specifications: Review and confirm the specifications, part numbers, and descriptions of the correct parts needed. Ensure that all details are correct to avoid future errors. Request a Return Process: Inquire about the procedure for returning the incorrect parts. Ensure you understand the timeline and any shipping arrangements needed for the return.
