You need to be trained both technically and functionally in that domain of work which will help you understand the problem and probably help in finding a solution. With no experience in the domain, application or technology the team will fail to deliver.

Defining the problem is half the problem solved. Making sure we are reaching out to the members having the issue and making sure we know exactly what the issue is will go a long way in resolving the issue. Keep points which help in defining the problem are as below, 1. Being a strong listener. 2. Making sure we understand in its entirety the problem that was explained by the user.

Don't over analyze. It's perfectly fine to take a look at the problem and take wild stabs at what the problem is first and then prove or disprove that. At some point you may have to analyze things but know when to vs when not to.

When we're trying to define the problem we need to make sure to add room for unexpected causes of issues, sometimes problems might look very complex but it could be caused by a simple issue or sometimes even a collection of underlying issues. We need to draw a bigger picture, lets say a bird's eye view on things and try to trace the problem and possible causes. We have to be quite patient while observing the overall situation so we can set healthy conclusions as much as possible.

Once you have a clear problem definition, you need to gather relevant data to support your analysis and decision making. This may include information from the customer, such as screenshots, error messages, logs, or feedback; or from your own sources, such as documentation, knowledge base, or troubleshooting guides. You should also verify the accuracy and reliability of the data, and organize it in a way that is easy to access and understand.

Document EVERYTHING, no matter how trivial it may seem at the time. Hopefully your support software (such as Service Now) has copious amounts of space to take notes. Use it. Nothing worse than trying to fix a problem and the basics aren’t even there. Computer name, IP, OS, etc. It’s all relevant. What was the user doing at the time? Can they reproduce it? Happening to co-workers? Get all that information and put it in the ticket.

Always do a deep dive to understand the problem you are fixing, ensure it is well defined and that you are looking at the relevant metric so that you can be able to track the solution upon implementation. Once that is done then it is easier to gather the right data.

The first thing and it's the most important is to hear carefully about the issue and gather all the information you need. Secondly is to make possible solutions. Thirdly always make documentation.

Bonus Tip: Sometimes replicating the issue yourself is the best way to get the data you need.

Patterns point us in the right direction. Check for Correlations: Does a spike in network traffic coincide with the slowdowns? Finding those connections is key. Don't Forget the Weird: Outliers can be the most important clues. That one-time glitch might be the key to the whole issue! Tools Help, But... Automated analysis is great, but don't underestimate your own thinking. Test theories, challenge your own assumptions.
