You're tasked with building a cross-functional team. How do you ensure everyone is on the same page?

As a participant in many cross-functional teams, I’ve monitored a marked difference in the organization and success of a project when the “why” is clearly articulated. As a leader, I aim to communicate the “why” from the perspective of everyone involved. When I’m effective in this, I get buy-in almost immediately, which then translates into quality collaboration throughout the project. It’s not enough to share the “why”. You must ensure it resonates to each contributor in a way that they see their work in it almost immediately.

Proper communication and work flow should be establised between cross function teams to achieve any kind of goal and keep the team motivated.

1) To ensure a smooth sail , the mission, vision are important along with clear goal setting. 2) Next, it’s important to check if every team member is on board , if there are iterations, then do them. 3) Clear milestones and celebrating them is important. 4) Feedback calls in between project are important to ensure smooth project completion. 5) Lastly, acknowledging everyone’s contribution to their line manager and higher ups, earns trust and integrity on long term basis

IMHO, unity of thought is a key element. While differences are expected in cross functional roles and activities, to achieve synchrony, there has to be unison of ideas and execution of thereof. There will be a standout member to whom most of the cross functional members agree to, and he or she has to be the one championing the thought process to reach the common goal!

Building a cross functional team can be tricky. Hence the purpose and the goal have to be well defined and communicated with transparency - there has to be a buy-in of the purpose from all functional heads as they are the people who will contribute members from their department to join this team - if they are not onboard - they will send their worst performer to join this team and you are setting up for failure from the start.

At the first meeting, after describing the purpose /function. I would usually ask the attendees if there are any other skills required that I may have over looked. It's an opportunity to confirm invlolvment and drive success.

Recruiting the right people for a multifunctional team is crucial for success. Diverse skill sets, effective communication, and collaboration are vital. Selecting the right people doesn't translate to selecting the right people according to your own instinct. Most of the team suffers right sizing and have right people at the appropriate levels. As a Human being we all have a pre-conceived notions and instincts. These pre-conceived ideas can cause a unconscious bias in picking right people. Always remember you are not picking your friend, but you are picking the right person for the job. Adding Additional effort in removing unconscious bias will give you clear picture on how to pick the right people.

The opposite of accountability is ambiguity. If roles and responsibilities are not clear, it is almost impossible to have real accountability.

It's mandate & clearly defining the roles and responsibilities can always help organization and team in more ways than one. Considering how the tasks are most logically grouped for individual employees undertakings is also an important thing.

One great way of enhancing effectiveness and collaboration of such teams is shared goals among different people which helps in people leaning on each other, adding to and supporting each other and a sense of collaboration is more systemically generated also.

Create an environment where people are comfortable bringing up any possible issue that is holding us back. This will help the team to be and stay on the same page.

Instead of taking action, I would ask them to define the purpose of the project. If not with us, I should make adjustments. Interact, not just act.

I think it is very important to create that safe space wherein everyone can freely share their thoughts and voice out their opinions. That helps in ensuring there is a feeling of inclusion and belonging keeping the exchange of communication and learning from each other intact.

Having worked in integrated resorts, hotels & aviation industry, to get a cross-functional team to achieve the ultimate goal, effective communication and collaboration are crucial. Clearly define the goal, ensure everyone understands their role and how it contributes to the larger objective. Foster a culture of trust, respect, and open communication to encourage collaboration and idea-sharing. Encourage regular meetings and updates to keep everyone aligned and accountable. Set clear expectations and provide necessary resources and support. Recognize and celebrate achievements along the way to boost morale and motivation.
