My Insight: Emphasize the importance of starting small and taking time to understand each other in a mentor-mentee relationship. Acknowledge that initially, it might be challenging to identify the real problems or solutions. My Suggestion: Advocate for a flexible planning approach. Stress the need for both mentor and mentee to be prepared for a period of testing and trials to uncover the root issues. Highlight the importance of ensuring that both parties are aligned in their understanding and objectives to reach the desired end goal effectively.

I use OneNote to track my mentorships. I make notes from each session and include upcoming topics/questions in our calendar invite. That helps to plan ahead, but it's also good to have time put aside for things that come up in conversation.

As a mentor, it may be tempting to maximize your calendar to help as many people as possible - I am especially guilty of this. However, as noble as this is, not having calendar management can lead to burn out, disengagement, and even affect the conversations that you're having with mentees. My first tip is to use a strong scheduling platform to streamline meetings - it should have features such as follow up emails, reminders, and an ability to reschedule! These platforms should elevate the quality of life when it comes to scheduling so you can focus more on the conversation. My second tip is to protect your calendar by fielding for high intent meetings - use strong lines of questioning to determine the intent of mentees prior!

Blocking off a schedule ahead of time is helpful. For my mentees, I always ask them at the beginning of the relationship every when would they want to meet (e.g bi-weekly, monthly, quarterly) so they can send a calendar invite based on that. You can always reassess as the months go by on the frequency of your meetings based on the need. For instance, I had a mentee who I was meeting every other week for the first 3 months. After we were already able to work on most of the skills/aspects he wanted to address, we shifted to just a once a month meeting.

At my current position I have been trying to challenge myself to use the outlook calendar as it’s also linked to my phone so I can keep up to date on needed tasks.

In my 1-o-1 mentoring, I've found that continuity and accountability r key. That's why I prefer to schedule weekly sessions. This discipline has been essential in maintaining a focused and productive relationship. I make it a point to book these sessions in advance and reserve specific dates in my calendar. This ensures that both my mentee and I r committed to these times, and other activities don't interfere. It's a practice that's helped me stay disciplined and consistent in my mentoring efforts. While this structured approach works well for me, I understand and respect that others might have different methods that suit their mentoring style. What's important is finding a rhythm that ensures steady progress and accountability for both.

I am a Dyslexic Mentor and I came to realise early on in my studies that I would need to approach mentoring in a slightly different way than my fellow neuro-normative students. I realised that video sessions were easier for me to deliver and feel confident, as I could have notes that I could refer to during the conversation. As part of my qualification, we also had to record a video conversion to be assessed. I found this really useful, to get feedback and see my own performance. I then developed this together with my process for reflections and planning sessions to now include AI notetaking. This has helped me focus on the client, rather than trying to write notes in the moment. I feel this has helped me to become much more effective.

Initially, revisiting sessions a few times can be helpful. If you're conducting sessions online, it's beneficial to record them. Nowadays, numerous AI tools are available that can transcribe, separate key learnings, call to action, and even summarize the entire meeting for you. I usually record offline sessions as well, but just the audio. This data can be leveraged using AI tools to make more sense and be useful if needed, harnessing the power of AI.

Ensure NOTHING short of a life threatening emergency or the imminent birth of a child interrupts your planned session. Leave the phone in another room Hold the session in a neutral setting. Have no aspects of "power differentiation"

It's essential to be prepared to address questions about the security and accessibility of such recordings. In addition to these considerations, recording sessions can be an effective method for reviewing and analyzing information more introspectively, seeking new clues, and enhancing the quality of your advice.

I have come to learn that mentorship is beneficial to both parties by providing robust knowledge and experience. Keeping mentorship records either through recording or writing enables me to keep track of our conversations including and not limited to the set goals, tracking progress, activities schedules, besides giving the mentee a reference avenue in future.

You can't track what you can't measure. Agree on methods of tracking progress suitable for you and your mentee. Remember that the journey is preferred to just looking at numbers. Numbers give you tremendous insights but are not everything. Analyzing energy levels, motivation status, and other factors does work. Keep it simple, repeatable, and meaningful.

The best way to track your progress is to simply ask your clients after 3-4 sessions. Over time you will see a pattern emerge on strengths and on items that need some additional attention.

It won’t matter how much knowledge you can pass on if it isn’t accompanied by a sincere interest in the people you work with and for.
