A few months ago, I sent an itinerary email to vendors for an upcoming event. The email was concise, specific, and clear, outlining all expectations, deadlines, and deliverables. I also used bullet points to detail the schedule, while a clear and concise email arrangement reduces ambiguity, it also saves you time. You know, this format eliminated back-and-forth queries. Thus, ensuring smooth coordination and timely responses from all vendors.

? Be respectful, polite, consistent, accurate, responsive, timely, constructive, and collaborative. ? Attach files in a widely accessible format, like PDF or Word, and clearly label and organize them. ? Define the scope and deliverables, and establish the communication channels and frequency. ? Monitor and track the progress and performance. ? Resolve any conflicts or issues promptly. ? Celebrate the successes and learn from the feedback.

Utilize bullet points to convey multiple messages. If you type everything out into one large paragraph, chances are they will only get the first point and ignore the rest. If need be, schedule a call with the vendor to go over important information. 10% of communication is verbal, 35% is in your tone of voice, and 55% is in your body language. Essentially, you lose 90% of communication when you elect to only communicate via email. Phone calls are better, video calls/in person meetings are best. Choose which method of communication to use based on the stakes of the information and your prior experience with the vendor.
