Delegation is not just dumping work on someone else; it is a process that requires careful planning, clear communication, and ongoing feedback. To effectively delegate strategic communications, you should select the right tasks and people for the job. Take into account their level of experience, interest, and potential as well as their communication styles, strengths, and weaknesses. Set clear expectations and goals by explaining the purpose, scope, and desired outcomes of the task. Define roles and responsibilities of each team member, and how they will coordinate and collaborate with others. Additionally, coach and support your team by being available to provide guidance, encouragement, and feedback. Use coaching questions to help them think critically and creatively about the task. Lastly, praise their efforts and achievements while providing constructive feedback to help them improve their communication skills and results.

Think carefully about how and when you delegate - it can be really beneficial but it can also be overwhelming. There's nothing better than hands-on experience to build confidence, and a sense of ownership. It encourages innovative thinking and develops leadership abilities. You can still manage it without micro-managing - by assigning specific tasks, offering targeted development opportunities and importantly being accessible for feedback and as a 'sounding board'. This practical but 'hands off' approach improves individual capabilities and can strengthen the team's overall strategic communication effectiveness.

To practice delegation is to leave the task to the person without you worrying. To delegate, follow these 5 steps: 1. Identify the right candidate. (See part 3). 2. Communicate clear goals, roles and responsibilities to the candidate. 3. Allowing the candidate to do it their ways and be accountable for the outcome. 4. Coach and guide them along the way to enhance the candidate's competence with the delegated task. 5. Two-way feedback to align and troubleshoot issues, and how the work could be done more effectively. Provide resources when needed. Give it a go!

3 Common delegation mistakes

Delegation can be a tough task, especially if you're used to doing everything yourself or are concerned about losing control or quality. Therefore, it's important to be aware of common delegation mistakes when it comes to strategic communications. Micromanaging is one such mistake; this is when you interfere too much with your team's work and try to control every detail or decision, which can undermine your team's confidence and autonomy. Delegation is not for everyone because not all the staff have the ability to do this. Therefore, knowing when and who to delegate is important. How do you decide? Let's look at some criteria: 1. Competence of the staff. If he/she is able to perform a task without you worrying, then delegate that task with minimal supervision. 2. Character of the staff. If you know that staff who is entrusted with the task can bring him/herself to complete and report periodically without you chasing them, then, this person is suitable for you to delegate. 3. Timing. If the task requires urgent attention by you as the manager, don't delegate as your staff might not have the full story entails. Identify who is the candidate to delegate first on the criteria.

4 Delegation examples

To illustrate how delegation can help you and your team develop your strategic communications skills, here are some examples of tasks that you can delegate, and how to do it effectively. Writing a report requires delegating the task to a team member with good writing skills and an interest in the topic or project. Provide them with the background information, main points, audience and purpose of the report, as well as tips on how to structure, format and style the report, and use data and evidence to support their arguments. Review their draft and provide feedback on how to improve the clarity, accuracy and impact of the report. For presentations, delegate the task to a team member with good speaking skills who is confident and enthusiastic about the topic or project. Provide them with objectives, key messages, audience and context of the presentation, plus advice on how to design, deliver and evaluate it. Practice with them and provide feedback on how to improve their delivery, body language and voice. When managing a stakeholder relationship, delegate the task to a team member with good interpersonal skills who is familiar with the stakeholder's needs and expectations. Give them guidance on how to communicate, negotiate and collaborate with the stakeholder, plus handle any issues or conflicts. Check in with them and provide feedback on how to improve their rapport, trust and influence with the stakeholder.

Don't delegate everything at once, or delegate tasks that are too complex or critical. Instead, match the task with the person who has the most suitable skills, interest, and potential for the task.
