It is important to engage closely with team members to ensure effective communication, which can be either written or verbal depending on the situation. Written communication is useful for providing specific instructions to individual staff and for keeping records. However, for larger teams, verbal communication through meetings is preferred, with minutes taken for record-keeping purposes.

The communication style you adopt will depend on the size of your team within the organization. If you manage a large team, it is better to hold a meeting to convey the message to the members. This saves time and energy. During the meeting, minutes shall be taken for reference purposes. They should contain the instructions, the person in charge, the date, and the expected delivery date. All members can voice their opinions, thoughts, and feedback, ensuring that everyone receives the same message. On the other hand, if you manage a small team, you can use individual communication. My approach will always practice two-way communication to ensure that the instructions are clear, and the task is delivered to the expected standards.

Consider who will maintain and support these communication solutions long-term. Flexibility is key, so assess whether the platform can evolve with your team, allowing for new plugins and functionalities. Choosing the right communication channel is crucial and should consider what functionalities you need in the long term.

Clarity is key for whatever method of communication you use. The previous steps talk about finding the right way to communicate with a team members, however once that’s been selected, it must be used effectively. For issues that are sensitive or complex, long drawn out stories with complicated examples or words do not help the situation. The more complex the situation, instructions or requests should be made clear and point blank to the team member. If the message is extremely complex you can ask the team member repeat back the instructions to ensure that the message was understood. This extra step may seem repetitive, but it’s a better option to pursue then having time wasted because the wrong actions were taken due to miscommunication.
