Usually, when invited to speak either as a stand-alone keynote, or part of a panel, all of the aforementioned areas are determined by the hosting organization. I always make it a point to see the venue the day prior, or at least some number of hours before the engagement. Walking the space helps orient me to where and how the audience will be arrayed; the flow and format; and what tech is being used. I prefer a lav mic and always ask for one. Primarily, this is because I don't use notes and usually don't use charts, to keep my hands free, allowing for a more natural use of my body. If a handheld mic is the only option, that needs to be part of the calculus for how I will engage the audience. In sum, know the venue to better prepare.

What will you be doing during the day and evenings? Answering these questions will determine the facilities required and how to shortlist potential venues. The Budget is also important for the organizers and participants. How much can the organizers spend? How much can the participants spend ? 2. The target audience, Who are they? Their age, profession? How many are they? 3. Duration: How long is the conference? If it is a day or three days is it a short travel distance for majority of participants or will they need to travel long distances?
