I would start with the purpose (theme), why are people there, what do you want them to know, learn and/or leave with. The attendees need to know this before they show up and if possible give them some pre thinking questions. Then the practical aspects of the conference, it has to be easy to log into and keep people engaged. Breakout room discussions are a must, it has to be interactive to keep people's attention, or they'll be doing their email. A well thought through agenda with clear timing, plenty of breaks is important. Keep the PowerPoint slides to a minimum, it is worth preparing your speakers to keep it brief and engaging. Finding a natural flow of the topics is also important.

I like comparing big blue button or Ms teams too. Depending on what small groups or voting tools I plan to use, I file my decision.

Do you want a more interactive meeting? Consider using polls and word cloud functions on MS Teams. If an international conference, take into consideration that multiple people using video at the same time may impact bandwidth in some regions with lower bandwidth/weaker internet connectivity. For international conferences, Zoom has a great simultaneous translation function which allows you to use different languages on different channels to ensure inclusivity.

I just want to highlight a point that, post-Covid, people have become familiar with virtual conferences and meetings, making them an integral part of the current workflow for any organization or project. We should consider this as an advancement that helps make work more efficient, as individuals no longer need to waste time commuting to physical meetings. Unfortunately, due to the virtual nature of these interactions, people often lack the human interaction element, making message delivery and idea communication more challenging. In my current work, misunderstandings occur more frequently, leading to wasted time and a gradual loss of focus during discussions.

We are spending more time than ever in online conferences. It is getting more difficult to stay fully focused during these sessions. There is often a lack of a clear plan and outcomes. Most of the time, we see one presenter or a pannel of 2-3 people presenting without ever engaging with the audience. This pattern tends to lose people's attention quickly. Including some live exercices, links to share and test during a webinar, allowing the audience to share their own perspectives will keep people's focus throughout any presentation. They will take more out of it. I think, keeping everyone engaged during a virtual conference is key to ensure messages, objectives, or outcomes are fully understood and integrated at the end of the session.

Remember to do a dry run with your speakers ahead of time to make sure they’re comfortable with the tech and the run-of-show - your speakers are after all the stars of your event! ??

Have a slack channel open with them so you can message back and forth privately during and before the session so they are clear on the details 15mins before. Act as a producer in a sense by staying an active and helpful host. Anything they begin to share you can immediately google and see if you can provide some visual representations or back up their facts with data points. Run relevant polls or quizzes on what they are sharing to increase audience engagement. Please don’t ever send a loom video in place of a meeting. This is such a good point. I think you should also ask attendees what they’re interested in hearing/seeing/learning and what would be helpful for them and their business. Ask them how you can help them improve and if you can’t help them, maybe ask if there is anyone in their network that can benefit from your services. You could set up a separate broadcast where you address the attendees and their questions or needs, and give them a more open-ended experience that is tailored to them.

So, it tries to simplify things and when it feels like having seen something already, it goes into energy-saving mode... Take the word "extraordinary" literally: Things that are outside of the ordinary... this is when curiosity kicks in and you get the full attention of your audience... be different, do the unexpected... whiteboard instead of PowerPoint... a yet unseen format... be creative...

One thing which I have found helpful is adding small filler events in between the conferences. By filler events I mean interactive QnA session, entertainment session and so on. Conferences are generally long and might make some people bored too. Inorder to make sure that the same enthusiasm is maintained throughout the conference may be taking small breaks in between with these filler events would work and make the conference more interactive too.
