Com ela é possível desenhar qual o melhor formato do evento, número de pessoas, localiza??o, dura??o, etc. Um erro muito comum é tratar o evento de forma "caseira" e com recursos humanos internos. Isso na grande maioria das vezes traz mais gastos para quem está patrocinando do que economia. Empresas de eventos s?o os parceiros corretos para auxiliar nesse momento pois possuem toda a expertise e conhecimento do negócio, gerando otimiza??o de custos.

Frame the event plan around the result you desire. Consider the possible outcome, effect, and influence the event can create in your audience, stake holders, and market. Make sure all your efforts, actions and expressions align with the message you want to convey and the image you want to create. Try to impact the maximum communication channels including Media and word of mouth.

Moreover, it’s crucial to align the event’s objective with the overall values of the company and stakeholder expectations. The most important questions: Why and for/with whom? Answering these questions definitively allows you to determine your event's goals and objectives, your audience (attendees, sponsors, exhibitors) and key partners (media partners or local CVBs). These metrics should guide your process. One last question to consider is where - do you need it to be a live event or can you gather in a virtual space?

Utilize existing and familiar tools where possible, especially for a first event. You’d be surprised what Google Drive and Sheets can get done for you! I have upgraded my PM tool to Airtable, but can still build pretty complex project plans in more approachable software.

Do your research. Lots of free options to choose. Also sometimes a tool that might be more expensive at first, it might be able to replace another three you already pay for. Do the math.

The tool should incorporate a Gantt-format schedule to ensure adherence to deadlines. During the event, an indispensable component is a minute-by-minute agenda, which must be communicated to all stakeholders, presenters, staff, and event participants. It is prudent to devise a contingency plan (Plan B) in case unforeseen challenges arise, given the inherent complexity of events that often experience variations. Ultimately, don't forget to enjoy the process and celebrate the successful conclusion of the event with all involved parties.

For Registration and Ticketing: Eventbrite: Ideal for managing registrations and ticketing, offering ease of use and integration with other platforms. Meetup: Perfect for promoting local events and engaging specific communities. For Planning and Organization: Trello: A flexible project management tool, great for organizing tasks and collaborating with your team. Asana or Monday.com: These tools offer advanced functionalities for project management and team collaboration. For Engagement and Networking: Swapcard: Excellent for participant engagement and networking, particularly useful for virtual and hybrid events. Hootsuite or Buffer: Handy tools for managing and scheduling your social media campaigns.

I'm a huge fan of using approachable tools when planning an event for your business. If you are already using Google Drive, for example, you can create event plans and collaborate using Google Sheets and Docs. I personally am a fan of Airtable for all of their integrations and interfaces, and their automation capabilities. There are also great online ticketing platforms like Eventbrite and Ticketleap for live and hybrid events as well.

Initial Planning Phase: Define the event’s concept, objectives, and preliminary budget. Set key milestones like venue booking, major vendor contracts, and marketing launch. Vendor Coordination and Logistics: Detail timelines for vendor selection, contract negotiations, and final confirmations. Include deadlines for logistical arrangements like transportation, accommodation, and equipment setup. Marketing and Promotion: Schedule your marketing activities, including social media campaigns, email marketing, and public relations efforts. Set deadlines for ticket sales, early bird offers, and registration closure.

Work backwards from your event date, with realistic milestones and deadlines: When will you need to share the guest count with a venue? When will you need to send the nametags and other designs to the printer? When do you need to have the sponsors' information for the designs? Answering these questions can help to build out the pieces of your puzzle. Then, using a tool like Airtable, you can build out a to-do list based on those key milestones and deadlines, and assign responsibilities accordingly.

Setting a timeline in event planning I find to be the best solution to avoid stress. When creating an event and when you have set your purpose and goal for an event, start thinking about potential problems that can occur in that specific event. And then find solutions and include them in you timeline. This allows you to be flexible. If you have that option always delegate and include other colleagues in creating timeline because I believe that 2-3 heads are always smarter than 1.

If your team is not experienced or set up to support event strategy, design and production, find suppliers who are. Events are high-stakes endeavours, and learning on the job is very dangerous. Instead, find suppliers and consultants who take on the work for you. Importantly and preferably, find suppliers who actively work to help you learn and become more confident in event strategy, design and production.

Be sure that you have diverse voices and perspectives at the planning table - diversity of thought will only strengthen the content and delivery of your event. And it’s not enough to just “check the boxes” in adding diverse voices, you have to be sure to engage each and every voice in a meaningful and authentic way - challenging each other to think differently, allowing more innovation and creativity to manifest organically throughout the planning process.

The best thing to do is bring on an event planner at the beginning to help set a reasonable budget that helps meet all your goals and objectives.

There are usually many players involved and pulling all details into one document will help keep all parties and clients calm leading up to the event and it will ensure everyone is on the same page and there are no surprises.

For events, especially in person events, it's important to keep in consideration safety, ADA and DEIB. Arrange activities and structures for ease of access for people in wheelchairs, using walkers, etc. Be prepared for staff or attendees who may have a service dog and be set up to meet their needs. Consider fire safety, heat or cold related health risk, and various other risks. Have a plan for small first aid needs, such as having bandages on hand, and various types of emergencies. Have an evacuation plan and train staff on how to execute it in case of emergencies. Medical emergencies, injuries, fire and violence can occur anywhere at any time. Prevention steps and preparation will help increase positive outcomes.
