You're at odds with IT colleagues on hardware purchases. How do you find common ground?

When it comes to making important decisions about purchasing hardware or designing a system, it is crucial to collaborate and ensure mutual understanding.

This is when you have to step back and look at the bigger picture. Money vs. Time vs. Lifespan. Investing in hardware, only to find out it is in legacy status in a few years is not a good set up for a robust lifecycle. look at all the PCs that do not qualify for a Windows 11 upgrade, only because the processor is a couple of years old and is a single generation away from minimum system requirements.

Don't make it personal. What are the requirements needed by the software and business? My rule of thumb is to buy hardware that I can grow with. If hardware is replaced every three years, than anticipate your needs and buy accordingly. You want to make sure that the hardware will support any future needs while not overspending on capabilities that you do not need. It is a fine balance.

In my experience, I tend to quote baseline needs based on application, plus 20% hardware spec headroom. It's important to have enough headroom, with slight room to grow in case of new workflow or product that is introduced. Most companies have a set cycle of around 4 years, so when it comes to budgeting it's a good balance of not over spending, but also leaving enough for variance.

Ultimately there needs to be discussion to determine what is best for the CUSTOMER! That is the most important goal in my opinion. This involves quality, longevity and price all rolled up into the final decision that fits the customers needs!

Finalmente, y basándome en la opinión dada en el punto 1, hay que consolidar con Compras, y justificarlo bien esa necesidad de gasto, aportando las necesidades de la empresa así como la cabida de este HW en el futuro. Aportando números y justificaciones de peso a Compras y la Directiva que lo rige y aprueba, el gasto por la compra de este material. A veces las situaciones se complican porque no todas las empresas se pueden permitir un gasto elevado en equipos o en actualizaciones de HW de ordenadores, o periféricos... Pero con una buena motivación, se puede llegar a conseguir.

This is a tricky subject. Money can get out of hand quickly if you do not have a minimum and maximum performance range you are working in. I am a huge proponent of RAM at ANY cost. Maxing out your MBs RAM is my top goal. Next is my Processor. Cores and GHz are the mains here. Lastly, if there is $ in the budget, I am a fan of putting a DVD burner in the case for legacy purposes.

Being a good admin, is understanding their workflow and needs primarily. For example: GPU takes priority over CPU when it comes to some tasks, such as CUDA based rendering, so more budget should be allocated to GPU needs. Sure, that latest i7 Processor would be nice, but for my users needs, an i5 is just fine, and I can put more money into the GPU, into what they truely need and is most optimized for their use case.

Como he comentado en el punto 1, el segundo pilar es la utilidad de ese HW a futuro. Analizar cuánto va a ser de útil para la empresa y tener en cuenta, sobre todo, la compatibilidad con evoluciones futuras de equipos HW que sean interfaces que este equipo nuevo. Vuelvo a insistir que una gran inversión requiere para una gran empresa sacar el máximo de amortización posible.

I do not beleive you can use "proof" here. The goal is mitigation. What software are you running. Will the vendor supply an update that may not run on your existing MB or Processor? Who knows? We all have been victim of an app or a software version that will no longer run on your 5 year old machine. Looking at you Dell :)

Communication is key in any field you work in. Have a team with open dialogue will allow different point of views to be heard and could open situations that you could have missed. Once all the aspects has been discussed then you can make the best choices to move the team in a better position.

Common ground must be found before progress can begin. Needed devices, policies or procedures. It always be misconstrued as unfavorable to a few. But this should not set back the organizations advancement.
