As a project manager for my local health department, I relied on four things - Inbox with all messages marked "read" at end of day, a weekly project summary report to my director, organized task/project overview, and an online planning software. I was able to facilitate groups as we worked on planning. The best way to stay on track and aligned with the objectives is to prepare an agenda, estimate time for each area, and stick to those times. During those brief pauses between speakers, I would jump in with something like "this has been a great discussion and we need to move on to the next section." Because I focused on listening to the discussion and not talking, people tend to pay attention when you confidently speak up.
