In sensitive team discussions, inclusive communication starts with empathy and awareness. Create a space where everyone feels safe to share their perspectives. Use clear language, and actively listen to each person without interrupting. Pay attention to nonverbal cues, and ensure quieter voices are heard. By regulating your own emotions and encouraging open, respectful dialogue, you can guide the conversation in a way that values each team member’s input and fosters a sense of belonging.

If possible, I'd like to have 1:1 chats before having a team discussion as certain team members may need more time to prepare. I then create a safe environment by setting ground rules. Recognize that sensitive topics can bring discomfort. Let the team know it's okay to feel uncertain. Use neutral language and avoid using idioms. Respect personal boundaries, and let people opt out of the discussion if needed. There may be individuals are monopolizing the conversation, gently steer the conversation back to others. Always stay calm and grounded.

There are many times when the team needs to navigate sensitive discussions. Typically before the meeting, I will talk individually with team members who are having the most problems so that I can hear their POV and also help them to talk openly in the team meeting. For the meeting, there are different tactics that I use. Maybe we all go sit outside and each have a coffee, I try to lessen the tension and promote comments by putting the team in a different environment. For the discussion, I do use neutral terms, I call on everyone to contribute, and ask open questions. I will ask the hard questions in a neutral way, but I will also be very clear that everyone is part of the team and is expected to contribute.
