You're managing a project with ongoing changes. How do you reassure clients about potential disruptions?

Where changes are led by clients, always provide the clients with potential cost and time impacts to the project. It is entirely up to the client to decide whether the proposed changes are worth the impacts. Where changes are due to other reasons not related to the client, be frank about it, propose mitigating actions, working within the boundaries of the PMI Triangle. Your professionalism in such matters will be respected.

The goal here is to err on the side of excess communication. All changes should be fully tracked and rationale for changes explicitly stated. Additionally, it is important to communicate “on-time”. This way, you build trust and transparency with your clients.

Let's first differentiate change from a surprise. No one likes a nasty surprise that we haven't anticipated. So, the first thing to do is during Project initiation set aside a simple way to handle changes. Say that, Changes may come and we handle it in "this" way and have define "this" and agree that with the client. When the actual change occurs, assess them and categorize with the client. Use your predefined "this" to handle this change. Typically, we go with parameters like impact/hours to assess. If you use agile/SAFe, even better to use methods like WSJF to define and weigh those changes and run them through your backlog prioritisation.

Keeping an open dialogue only builds that trust and taking in concerns of clients allows them to feel more secure about the project. You want you and your client to be on the same page and not throw any surprises their way.

Setting right expectations is extremely crucial for managing project scope and this is not just with the client but also internally with the team.

Change Control is very Vital. Although, everyone either on contractor or on client side will try to avoid the changes, it is unavoidable. Registering the change is the most important in timely. Contractor should give notification to client saying the Cost or Schedule Impact cannot be measured now, but Contractor reserve the right for the Cost & Schedule Impact. If you are on client side, you can assess real cause of the change, whether it is result of Contractor's action and even reply that it is not on the critical path and the impact can not be considered. Thus on both side they are protected and by the end of the project it can be discussed, resolved or disputed

I am going to take a practical approach here Before the parties initiate the change control process to make formal changes to the service scope etc (most commonly), the delivery and other executive from both sides should do the following to minimise disruption : - understand and agree the scope and nature of change(functional , technical commercial) - understand and agree on the potential disruption on ongoing services and prepare the plan to implement without disruption - finalize on the organization structure for revised changes - agreement on commerical impact and impact on existing fees etc. - finalise the project doc to craft the plan for change

C'est lui qui fournit les ressources au chef de projet pour obtenir un résultat qui lui permettra d'atteindre ses enjeux (ceux du commanditaire : plius de performance, plus de marge, un nouveau marché, ...). Le "responsabiliser n'a pas de sens puisqu'il est à l'origine du projet.
