You’re managing an agile project. What are the most popular facilitation tools you can use?

I have experience working with different Agile boards like Jira, Zenhub and Trello. But out of all these my all time favourite is Jira. I like the level of customisation it has given to the user, moreover we can use Confluence as the documentation tool which makes a perfect combination.

Retrospectives are the best medium to understand where are as a team in delivering projects ,what are things which we are doing right,what are the improvements areas and how we can improve the process and deliver better results. The team can come up with an action plan on how they can improve ,what are the resources required to reach these goals. Retrospectives also tell what are things we can Eliminate in our work,to make the process an effective one.

One of the most impactful tools in an Agile project is the Retrospective, and in my experience skipping this step leads to repeated missteps in future projects. For a retrospective it is imperative that everyone feels psychological safety to give feedback without blame. Depending on your team, utilizing something as simple as Microsoft Forms for anonymous feedback can give everyone a level playing field to speak freely. The Start-Stop-Continue questions are a perfect structure for this feedback. Retrospectives are a chance to reflect AND to impact future projects with a mindsight of continuous improvement. If everyone keeps that in mind the meeting itself is the most powerful tool.

There are many interesting advantages. Such as enhanced focus and efficiency. Everybody stay focused on the topic, allocated to the time frame. This improves productivity. Most of the time you have to decide quickly. An other advantage is the meeting management. Here you are also focused on the agenda. This technique supports the agile value of following a clear plan.

Daily stand-ups: Azure Devops works well with the selection of columns available and the fact that there is a single view of a user with all it's tasks. It is also the best for developer pipelines Refinement sessions & Retrospectives: Miro. It is great in a lot of ways. It comes with templates and you can create your own. There is a feature to timebox any session that you run on Miro. There are wonderful templates for retros and the "User Story Mapping" template is great for refinement. Reports - Jira allows for the extraction of stable and flexible reports, my best experience being costing reports. It also has a good variety of agile chart that come with explanations "e.g. burndown charts, velocity, cumulative flow diagrams" etc.

There are various collaboration platforms that are effectively handy for agile projects. However, they all have their uniqueness & navigations, like 'Jira/Confluence'. For example, 'Miro' is good for mind maps, retrospective or brainstorming etc, while 'Teams' or 'Slack' is essential for a two way communication between the agile project/scrum teams to foster cohesion. These tools facilitate transparency, inspection & adaptation which are key outputs of a sprint review- which is one of the strategic ceremonies conducted when the scrum framework is adopted in an agile delivery. With these tools, working documents can be shared amongst the agile team to work on in real time- regardless of their location whether remote or face to face.

My go-to collaboration app is Miro. Transparency is key and Miro enables this. Now that teams are remote and distributed, creating the space for collaboration is key.

Collaborative tools have drawbacks too, just as teamwork tools. Consider the following: 1. Overwhelming Data: We may receive an excessive amount of updates and communications from these tools. 2. Lack of Context: The subtleties of in-person conversations are absent from written communication. 3. Learning Curve: Acquiring new tools requires time.They are dependent on the sometimes erratic availability of the internet. 4. Tool Overload: Confusion can arise from the employment of too many tools. To address these problems, we need to establish rules, offer instruction, and, when possible, combine resources.

User story mapping is indeed a powerful facilitation tool for managing agile projects. It helps teams visualize the user's journey through the product by arranging user stories along a timeline or workflow. This technique enables teams to prioritize features, identify dependencies, and plan iterations more effectively. By creating a shared understanding of the user's needs and the product's development path, user story mapping encourages collaboration and alignment among team members.

Big Clean picture in front eyes, and easy understanding by everyone who is working with them, these two benefits push for the best results and encourage the team to take information about the process easily. At the time you could be a storyteller.

This is a powerful technique. By getting the big picture, it also helps you determine the MVP. And I use Miro for this. It is a collaborative technique as well, so don't try and do this on your own. Include the development team, business stakeholders, SMEs, users and customers if you can. That way you will get a rich map.

Voting undermines consensus. The majority is not always 'right', they are simply a larger number. Learn how to achieve consensus by engaging the entire team, enabling them to all speak, manage the discussion to understand, and then move to consensus.

Dot voting is the easiest and most well known. For consensus look to the Fist to Five. If you cannot get consensus and move to getting consent where everyone agrees to move forward on a particular course of events, while still making the time and space for continued discussion.

Consider a decision making process that is tool agnostic. Sometimes the focus can become too much on the functionality of the tool and not necessarily high decision quality and project management for the team. Leverage internal solutions and also adopt best practices from other teams that have worked well. One of the best tools in any agile effort are continued and timely communication.

I think the first and most important tool that if often negated is respect and empowerment of the human capital being brought together to provide a system of streamlined areas of expertise in a setting of other professionals who are generally in a secured position of expertise in their recruitment for their participation. Facilitating such a high level of trust among the contributing members and the community of practice in this collaboration or cooperative centered project management style can be deterred with out utilizing tools regarding strong practices of accountability, respect, and reliability of the members involved. The codependent nature of this type of project style requires tailored implementation for members contributing.

Before become too tool-oriented, the idea is create the "clima" and "the momentum" for agile teams to develop an agile project. This start first of all with psychological safety at the workplace, so everyone can contribute with honest opinions, no matter if they are different, a bit "disruptive", etc. To think outside the box and progress in agile projects we need to promote spaces for an agile mindset, whatever regarding the tools (it's plenty of) will come afterwards.
