Allocate 5 minutes for each section, and use a shared timer during practice runs. This approach helps each team member stay within their allotted time and keeps the presentation cohesive and punctual. Additionally, have a designated timekeeper during the actual presentation to prompt speakers when their time is almost up.

The biggest part of planning ahead is to clearly set expectations for everyone and get buy-in on the importance of time limits. If presenters don't understand and accept the value of brevity, they may feel that time limits are constraining them unnecessarily. They may even wind up feeling under-appreciated. In reality, time limits force them them to focus and stay within audience attention span. As TimeKeeper in ToastMasters meetings, I always explain that restricting yourself to a certain time limit is an exercise in prioritization. If you don't get advance buy-in to that principle, no matter what logistics you put in place, no matter what roles you assign, adherence to time limits may become problematic and even counter-productive.

Few months ago,I was training a Technical lead of a top consulting firm in India and he asked me the same question and here is what I shared; 1.The time allotted to each speaker has to be clear. 2.Preparation of each speaker in the group is mandatory. 3.Use outline structure of talk and everyone knows the specific points to be spoken. 4.Transition to be kept smooth and each one teach one method to be followed. 5.Be confident about the central idea,if you forget the exact lines,keep it extempore and explain your points logically.

Everyone needs to have a set amount of time. Everyone needs to know the plan. In a Toastmasters meeting, the agenda tracks all activities to the minute. It is also sent days before the meeting. Plan ahead, set the times, and inform the other speakers.

I've seen green, yellow, and red flags used at Toastmasters. Also, a phone app that turns the screen green, yellow, and red. I once had a 45-minute presentation for SHRM. I asked the timer to raise a card with the numbers 5, 10, 15, and so on to help me stay on track.

A timekeeper is a must, whether you are in person or online. An emcee or moderator also helps in a group presentation scenario. Someone to set the tone, introduce the sections and speakers, and intervene when a team member is running long, and then bring it all together at the end. Also, if you have 20 minutes, create 15 minutes of content. If you have an hour, plan for 40 minutes. Hedge against going over time. If you come in under, give people time for questions, conversation among themselves, and a longer stretch break.

During rehearsals and recording myself, I catch issues that lead me to make adjustments. When adjusting my presentation I keep in mind "What is my time limit" and "What is my core message". This prevents me from changing too much, cutting the wrong things, or making adjustments to areas that don't support the core message.
