We’ve all been there—trying to say yes to every request that comes our way. At first, it feels great to help out and be involved in everything. But soon, you start to feel it: projects pile up, deadlines loom, and suddenly, you’re feeling overwhelmed and stressed. You’re working harder, but the quality of your work isn’t where you want it to be. That’s when I realized something important: I had to learn how to say “no” without feeling guilty. So, I started being strategic. If I was already swamped with a project, I’d say something like, “I’d love to help, but I’m at capacity with [specific project]. Can we revisit this later?” Other times, I’d offer a solution, like “I can’t take this on, but [Colleague] might be able to assist.”

There is a subconscious belief that highly productive employees can always handle more. This is a slippery slope. Prioritize Tasks: Focus on what’s urgent and important, allowing you to allocate your time effectively. Set Boundaries: Clearly define your work time and stick to it (everything is not an emergency). This helps manage expectations and protects your you time. Communicate Early: If you’re feeling stretched, let stakeholders know your current commitments. Transparency can lead to more realistic expectations. Say No: When declining a task, express appreciation and explain your focus on existing projects. Offer Alternatives: Suggest someone else or a different timeline to show willingness while protecting your workload.

Delegate tasks when possible and encourage stakeholders to collaborate for shared goals. Regularly assess your workload to stay on track and ensure balance. Finally, schedule time for personal life, recognizing that downtime fuels productivity and better decision-making in the long run.

Setting out clear boundaries prior to any actions taking place will help you achieve balance with your stakeholders and your obligations. Having a health work-life balance will only enhance your ability to work with stakeholders. Saying No is hard to do If you are the type of person who likes to help, support new things and feels like they have to be involved in every action. It also helps to have a plan when you work with stakeholders, ensure you are engaging with intention and have clear asks in play. If the request (expectations) is beyond that you can always fall back on the plan to justify your "No". This will also help protect your relationship with them.
