The only way to clear up misunderstandings is to communicate. I like to start by gathering facts from stakeholders and any documentation. I review it to make sure it wasn’t a misunderstanding or error on my part or on the part of my organization. Only after I have a full understanding of the issues do I approach the vendor. I begin by asking what their understanding of the needs and expectations are and then walk through the problem items with them point by point. I make sure the vendor understands what the needs and expectations are. Once both parties have a mutual understanding we can revise agreements, etc. I always try to approach it as you would in a partnership. That way no one loses and the relationship is strengthened.
