2 Set Ground Rules

Establishing clear ground rules at the outset of your facilitation is essential. These should promote respect, encourage open dialogue, and create a level playing field for all participants. Rules might include speaking one at a time, refraining from personal attacks, and actively listening to others. By setting these expectations early on, you help mitigate power imbalances by giving quieter members the confidence to speak up and reminding more dominant personalities to share the floor.

Often when we facilitate group sessions of adult humans, especially within organizations, it helps to remain wide open to the fact that we may just be instruments being used to catalyze (facilitate) systemic shifts by one or other party in the system. When we set up ground rules, we would do well to ensure that they are not our own rules, but theirs in essence and in effect. The last thing we want is them saying so-and-so's rules say one-two-three. They must rather say, 'our rules say'. One of the primary ground rules in facilitated work is the 'muting' of rank. This goes along with respecting everyone's right to express their views without interruption or fear of retribution. Another rule is safety to call each other out (accountability).

Human First Identity Exercise: Upon entering the session, ask participants to write their current designation or role on a piece of paper and deposit it in a box outside the room. Then, have them pick an identity of "Being Human First" from a second box, symbolising leaving formal titles behind. As they enter the room, they wear badges labelled “Human First” as their name tags throughout the session. This exercise helps neutralise power dynamics, emphasising each participant's shared humanity over their hierarchical roles, encouraging open dialogue and collective decision-making.

3 Foster Inclusion

Creating an inclusive environment is key to mitigating power imbalances. Encourage participation from all group members by actively inviting input from those who are quieter or may feel marginalized. Use techniques such as round-robin sharing or small group discussions to give everyone a chance to contribute. In just about any collective effort, experience and practice have taught many facilitation practitioners that creating an inclusive environment is neither an accident, nor is it by mistake. It is almost always by design. Fostering inclusion requires a basic understanding of who is involved and what they would like to get out of what they are being included in. It helps to also understand what the cost of not including them will be in the short to long-term. Fostering genuine inclusion is assisted by genuine invitation to all parties to get on board. Real inclusion requires vulnerability among all parties required in the inclusion. Fostering inclusion is an act of courage fueled by mutual responsibility.

Encouraging open and respectful dialogue is vital for reaching consensus. Facilitate discussions that allow for the exploration of different viewpoints without judgment.
