Prepare a crisis communications plan. Entrust just two key spokesperson to respond to media in relation to the crisis / event. (If it’s a hotel, ideally the General Manager and PR Manager). Ensure the staff is first clearly briefed on the situation. Prepare a media statement and share your update on social media to avoid miscommunication and baseless rumours and disseminate your statement across all media platforms. Always keep your customers / followers informed, instead of avoiding the issue. Follow up with an update on the final outcome, result and respond to any questions thrown at you, with confidence.

Remember, while the crisis may seem all-consuming, it's important to maintain perspective. There have been countless crises throughout history, and many have been forgotten over time. Focus on the bigger picture and remember that there's more to life than this particular event. To manage your message effectively, be prepared, be proactive, and be transparent. Have a response plan in place, control the flow of information, and engage directly with your audience through social media. Apologize when necessary, show humility, and provide clear and honest communication. Remember, in today's world, transparency is essential.

1. Keep calm, analyze and be strategic: It is important to create a sense of calm, which is achieved through transparent and fluid communication. 2. Develop a plan based on your crisis management manuals. Adapt it to the current situation and activate it to communicate with each of your stakeholders. 3. Regularly review every action and reaction. Adjust your steps if necessary. Use data to craft strong, credible narratives. 4. Once the storm has passed, study the events while continuing to communicate, even after calm has been restored.
-
Be honest. Ensure you have just one person who deals with the media. Stick to facts and don’t be forced into going down lines of enquiry or speculation you are not ready to go down.

In a media crisis at a high-profile event, it's crucial for city governments to be crisp, precise, and accurate in all communications. Ensure that any public statements are clear and to the point, without leaving room for ambiguity. Encourage the public to remain calm and composed, while directing them to get updates from vetted, official sources and channels. This helps control the narrative, avoid misinformation, and maintain trust during the crisis.
