You're facing client confusion on network protocols. How can you clarify the technical jargon effectively?

Instead of saying terms like FTP and explaining what the acronym stands for and its purpose I prefer to move to more human language such as "there was a problem with the file transfer" and we resolved this by increasing the speed and bandwidth.

A very good example is with IP addresses. It is always easier to describe them as unique identifiers just like house addresses. An IP address contains information about the correct location of our computer on the network. The same way a mailman needs to differentiate between the houses on a street, the network also needs a way to differentiate between individual computers.

Think about a mailman trying to find the right mailbox if two houses on the same street had the same number, it is the same way for IP addresses and it is called IP address conflict. An IP address conflict occurs when more than one device on a network is assigned the same IP address. This can happen due to a couple of reasons. For instance, when a user PC resumes after being hibernated for a long period of time, and attempts to use the same IP address it was using before hibernation, the router might have revoked that IP address and assigned it to another device thereby resulting in a conflict.

If the issue has been going on for some time I always advocate to my teams that they draw themselves a network diagram of the traffic flow. This can be as detailed as is needed to solve the problem. Once detail is added a different version can be shared by deleting/hiding certain objects and then sharing a JPG?PNG with the client. This may help them understand what you are trying to share. A picture can speak a thousand words.

Having handy cheat sheets for initial investigation steps that can be performed by your client can really save you a lot of time. Often problems become common and so a single template can become an autoresponse for initial debug information to be gathered. If you can't automate the response at least a templated response or even the ability to copy and paste in to the reply is really useful and can clear things up leading to earlier resolution and maybe even clarity to the problem they're facing as they may notice something in these steps alone.

A very important tip that has proven over time to be helpful even in full DHCP enabled networks is advising clients to shutdown or restart their devices often. This will help to prevent IP address conflicts resulting from client devices resuming after being put on hibernation mode for over a very long period of time.
