You're drowning in BPO data entry tasks. How can you automate the process for efficiency?

Standardise first. Make sure there are SOPs and runbooks for your teams to follow. Follow up on that with automation for the repeated, mundane activities that does not need a human brain to think/act. If your team is used to sending a daily update to Client ABC, then find out ways to automate that process. Eg: Let's say you having a JIRA client board and the updates from there needs to go to the clients. Automate a workflow where the JIRA ticket updates (using the JIRA status) go to a Google Sheet via JQL queries which are auto refreshed, which then integrates with an email client via Google AppScripts and then sends that email with the relevant updates in a table-form to a pre-determined set of folks.

Choose the Right Automation Tools. RPA tools like UiPath, Blue Prism, or Automation Anywhere can automate rule-based, repetitive tasks. OCR technology can convert different types of documents, such as scanned paper documents, PDFs, or images captured by a digital camera, into editable and searchable data. Tools like Zapier or Integromat can help integrate various applications and automate workflows between them.

To automate BPO data entry tasks efficiently, I would first identify repetitive tasks suitable for automation, such as data extraction, validation, and entry. Utilizing Robotic Process Automation (RPA) tools can streamline these processes by creating bots to handle routine tasks accurately and quickly. Implementing OCR (Optical Character Recognition) technology can automate data extraction from scanned documents. Integrating workflow management software can orchestrate tasks and ensure seamless operations. Regular monitoring and optimization of automated processes are crucial for ongoing efficiency improvements. This approach minimizes errors, reduces manual effort, and enhances productivity in BPO data entry tasks.

Most important is to find someone with the right recipe of making the spices (like RPA, OCR and other tech tools) to work in a complete harmony and completely adopted by the users in an organization. Automation does not come alone, it comes with a lot of peripheral challenges that needs to be handled with a caution like Organizational Change Management.

The approach starts with something other than the technology to be used and then analyzing the processes. The critical starting point is that there must be a well-defined process. It may seem unbelievable, but a clearly defined process often doesn't exist, and you can't start building a house from the roof down. Then, study each process step in maximum detail, and only then can you analyze the automation opportunities. Each case will require a specific solution based on its particular requirements. Nowadays, there are a bunch of technologies that automate data entry tasks. AI, of course, but also software platforms and customized solutions. And many times, you could need a mix of them.

Based on my experience with large-scale enterprise projects, it's crucial to establish a crystal-clear scope and well-defined success criteria before the project begins. Thoroughly capturing the current processes using BPMN documents is essential, as it allows for a detailed analysis to identify and eliminate potential bottlenecks and improve performance.
