You're a consultant with multiple clients. How can you keep track of them all?

Balancing multiple clients is indeed a dynamic challenge. Here's how I navigate through it: Tailored Systems: I use a client management system ensuring all client specifics and interactions are organized. Personalized Checklists: I create personalized checklists for each client, helping me stay on top of their requirements and deadlines. Proactive Communication: Regular and proactive communication is key. I schedule regular calls and updates to keep clients informed and engaged. Strategic Prioritization: Prioritizing tasks based on client priorities and timelines allows me to allocate time efficiently. Flexible Planning: I embrace flexibility in planning, allowing me to adapt to evolving client needs while maintaining high-quality service.

Consulting exists because the skills and expertise can be amortized over multiple clients. If we work for only one client in the long term, there is no value creation and it's like the client paying you salary for the work you do. He can always poach the team or build an in-house team. Clients will be in different forms and shapes, short-term assignments are valued equally as long term, depending on the problem statement. Having multiple clients and problem statements is what makes a Rockstar consultant, else you are just another employee. Keep in touch with all clients, if on short-term projects, do a lot of them in a year, and if on long-term, ensure that you get exposure to new workstreams.

Successfully managing multiple clients as a consultant requires effective organization and communication. Client prioritization is a dynamic process and should be done regularly. Factors like market changes, client business evolution, or even your service portfolio updates can shift priorities. Implementing a quarterly review process for client prioritization can help. Use a multi-dimensional scoring matrix considering importance and satisfaction, future growth potential, and strategic alignment with your services, and industry trends.

Communication is essential for building trust and maintaining a positive relationship with clients. Few things which have worked for me. Understand how your clients prefer to receive updates and information. Adjust your communication style to align with their preferences. Proactive vs. Reactive Communication: While it's important to be proactive in keeping clients informed, it's equally crucial to be responsive to their needs. Promptly address any concerns or inquiries they may have. Effective Use of Meetings: Face-to-face or virtual meetings can be powerful tools for communication. Ensure that each meeting has a clear agenda, and time is used efficiently. Transparent Reporting

Under-communication and Over-communication kills. An e-mail may or may not be the best thing for your client. A phone call may or may not be the best thing for your client. An in-person visit may or may not be the best thing for your client. Gauge what works, and go the horses for courses way.

Communication regularly to the client is definitely an asset to company and project at the same time.getting their inputs and suggestions make the process hustle free.

I find communicating with client and stakeholders one of the most important aspects of balancing several clients at the same time. Being transparent about your schedule and time for a client is important, but in addition also be flexible to pick up on some chats or small activities for client B while it is your ‘client A day’ will be appreciated and makes sure initiatives at both clients keep progressing.

Well, Over-communication can be as detrimental as under-communication. Consider having personalized communication. Develop a communication plan tailored to each client segment. CRM makes life easy, the easiest free CRM is an excel sheet with the list of clients and the date you had last touchpoint with them. A more elaborate way is to have a slide for each client with names of stakeholders, last touchpoint, future meeting planned and so on. This is the difference between transactional client management and Key Account management. Where you see high customer lifetime value, work with an Account Management view. So prioritization is key, there will be clients who will eat your brain but hardly give any quality work, deprioritize immediately! And prioritize clean and straight-forward clients who lead to future value creation for both.

While this is a noble approach, in my view it is not always realistic. Consulting teams are always on the run with Pre-sales, proposals, delivery and active account management. There is already a truckload of tracking to do. Adding another overhead simply is an over-kill

Considering clients which are private organizations and listed entities, sending automated mailers isn't entirely the best way. There should always be a human touch in terms of saying what's new that your company has to offer and that you believe it is possibly something that could help them basis their previous conversations / upcoming objectives / known business challenges

Automation should be adaptive, evolving with changing client profiles and market trends. You can use AI-driven marketing automation tools that can adapt messaging and channels based on client interaction data. Implement A/B testing regularly to refine automation strategies and ensure they align with current client expectations and behaviour patterns.

What can be delegated, should be. What can be outsourced, should be. The only consideration to note of is, whether the quality of work is in sync with what yours is originally

Delegation and outsourcing are not just about offloading work; they can help you scale your business. Identify core vs. non-core activities. Delegate non-core activities, enabling you to focus on high-value tasks. Establish a network of quality partners and freelancers who can provide complementary skills or cover the workload.

You are a consultant not God. And every good consultant firstly knows his/her own strengths and weaknesses. Most importantly is honest about it. You also know the same of your team. Now break down all deliverables to clients into areas and assign it to your team members to complement their strengths and minimize their weaknesses. Take on those aspects yourself that you know your are best at. Now you haven't just delegated, you are actually distilling the best of yourself for your client. Rest assured you will be delivering a superlative solution.

Revisiting client lists, how they are performing, what's the strength of relationship, how does the future intersection look like (between your services and their needs) is a key here.

Create checklists for onboarding new clients, managing projects, and conducting check-ins. This saves time, ensures consistency, and minimizes errors. This frees up your time for more strategic client engagement.

I manage everything out of a paper calendar and a notebook. I do have a CRM, but for managing client projects, I stay old school. My preference is a bit of the 'Getting Things Done' methodology in that I always track the next action I need to take and the things I am expecting in my list of to-do's.
