You're in charge of a major project. How can you lead your team to success?

As a certified PMP, I'm a proponent of methodologies and project charters, but let's be realistic: to lead your team to success on a major project, it's essential for the project manager to understand how the project fits into the company's vision, its future impact on the organization, and the individuals affected. Another key aspect is accurately defining the profiles needed for key positions. In reality, a team is comprised of pivotal roles around which the rest of the positions revolve. It's crucial to carefully source these positions not only based on skills but also on personalities.

As a certified PMP, working as a PM on a major project I would start with a clear vision and defining goals. Assigning roles and responsibilities to the best available resources. A good project charter will ensure all these. Then regular communication and check ins would be a key to keep the project on track and minimise the issues. Would try to support the team by providing required resources and guidance. I always believe in recognising and celebrating milestones, this helped me keep the team motivated.

Prioritizing the most urgent tasks, setting roles to the team, arranging deadlines, listening to their needs.collaborating together never seemed easier!

Simple question is as the leader, are you leading yourself effectively. The project has nothing to do with the team per se as much as it has to do with the one leading the team. Are you providing a strong and compelling vision? Does your team know what's in it for them? Are you helping your team think through things and helping them to develop into their own leaders? What are you doing for their team to make them want to do well on the project?

Set Clear Goals and Expectations: Clearly define the project's objectives, scope, and deliverables. Ensure that team members understand their roles and responsibilities. Build a Strong Team: Assemble a diverse team with complementary skills and expertise. Foster a positive team culture that encourages collaboration and mutual support. Effective Communication: Establish open and transparent communication channels. Clearly communicate project updates, expectations, and any changes to the team. Create a Realistic Timeline: Develop a realistic project timeline with clear milestones. Consider potential risks and build contingency plans into the schedule. Allocate Resources Wisely.

Here, I will focus on human and software resources. In Part 1, we defined profiles in terms of skills as well as personalities. It is crucial to align recruitment with the expectations of various positions. Recruitment encompasses both internal transfers and external hires. Let's also discuss software. It's important to equip ourselves with user-friendly tools that facilitate effective communication (a key factor in project success) while being intuitive enough for quick adoption by your team. Moreover, investing in training sessions or providing comprehensive onboarding materials can further expedite the team's proficiency with these tools, ensuring smooth project operations.

When it comes to project management, while a Gantt chart remains an effective tool, I would recommend considering fully integrated technologies such as Microsoft Planner. It offers the advantage of grouping activities into blocks based on type, phase, and role, much like a Trello/Kanban board, allowing task assignments and facilitating Gantt chart visualizations. Another advantage is the ability for each individual to view only the activities assigned to them, integrate them into their calendar, and receive agenda reminders. Additionally, its integration with Teams streamlines discussions, note-taking, and document sharing, enhancing collaboration and productivity within the project team.

Let's not overlook the importance of commemorating key project milestones through seminars and team-building activities to enhance team cohesion. These gatherings can serve as opportunities for team members to reflect on their progress, celebrate achievements, and foster stronger bonds. As the project draws to a close, I highly recommend conducting post-project debriefing sessions, both collectively for the entire team and individually for each team member. These sessions provide a platform for comprehensive reflection, allowing team members to share insights, lessons learned, and best practices.

Para que un proyecto sea exitoso, paralelo al cumplimiento del alcance, costo, plazo y calidad, debe existir una buena Comunicación. El saber qué comunicar, como comunicar, a quien comunicar y en que momento (oportunidad) comunicar es la clave. Aquí están incluidas, las reuniones de Proyecto, los reportes y su frecuencia. El tener claro quien hace cada cosa y que esté bien comunicado a cada integrante del equipo ayudará a sumar esfuerzos para lograr los objetivos.
