Normally, when this type of project has a tight budget, we must be clear with the client, because with some experience in the field, you have an idea of the approximate costs of the components needed for the installation. With the client we must discuss the project time, the quality of the components and the type of installation that can be done with the budget they give us. Within these discussions, recommendations must be provided on how to carry out the installation, prioritizing what is necessary in the first instance, the most essential for everything in the installation to work. As time goes by, a maintenance and update plan for the components can be left.

During negotiations and when setting up a contract, the most challenging element can often be procurement and instigation of the collateral warranties. Remember to include discussions and or agreement of the contractors method to appoint their designers. Include these debates early and establish prior to project commencing, as it’s always more difficult once you are on that journey.

A critical element of monitoring spend is to manage disputes along the journey, don’t leave disagreements until the end of the contract. Negotiating the cost of change is by far the cheapest solution and change is almost inevitable, including value engineering a project. Be open to contractors ideas and work together to deliver the scheme as this will promote understanding, educate and build trust between the parties that will save money, time and improve quality.

Finally, don't rush into signing contracts. Take the time to thoroughly review all terms and conditions. Look for hidden fees or clauses that could lead to additional costs down the line. If anything is unclear or doesn't align with your understanding of the agreement, seek clarification or negotiate amendments. The contract review is often missed when setting up the supply chain and the steer here is recommended. However, when reviewing clauses remember as a project manager going forward you should act impartially. Prior to agreement pause to assess whether the express clauses being drafted are enforceable, or there’s no point. Contracts are about fairness.
