1 Assess the context

Before you assemble your LGF team, you need to understand the context and purpose of your facilitation project. What are the main objectives, challenges, and opportunities of the large group? Who are the key participants, sponsors, and stakeholders? What are their profiles, preferences, and expectations? How diverse is the group in terms of demographics, cultures, backgrounds, and perspectives? How complex and dynamic is the situation? How much time and resources do you have? These questions will help you define the scope and requirements of your facilitation process and identify the gaps and risks that you need to address.

For large group facilitation, the first step is to determine who and how many facilitators you are going to assemble to best meet the needs of the group. In my experience, the general facilitator-to-participants ratio is 1:8. However, the number of facilitators you need to recruit, as well as their character and skill levels, can vary depending on the nature of the event, such as team building, brainstorming, strategy planning, or world cafe. When you are unsure or uncertain, it is always beneficial to reach out to other facilitators. By leveraging their similar experiences, you can gain valuable advice and insights to supplement your approach to assembling facilitators.

Diversity is an extremely loaded term, which I would not use! Making skills fit the requirements would of be a much better explanation. What are the tasks to be accomplished? How are they to be synchronized? i.e. what methodologies will be used? Who is in charge of tracking who is doing what to keep things synchronized?

Next, you need to define the roles and responsibilities of your LGF team. Depending on the size, complexity, and duration of your facilitation project, you may need different types of team members, such as co-facilitators, process designers, graphic recorders, data analysts, logistics coordinators, or technical assistants. Each role has specific skills, tasks, and deliverables that contribute to the success of your LGF process. You also need to clarify how your team will communicate, collaborate, and coordinate with each other and with the large group. You may want to create a team charter that outlines the roles, expectations, and norms of your LGF team.

Once you have defined the roles and responsibilities of your LGF team, you need to be intentional and proactive in seeking diversity in your team composition. Diversity can be understood in different dimensions, such as identity, experience, expertise, perspective, or style. A diverse LGF team can offer several benefits, including increased creativity and innovation, enhanced credibility and trust, and improved adaptability and resilience. To seek diversity in your LGF team, you can use various strategies, such as recruiting from different sources and networks, applying inclusive and equitable criteria, and fostering a culture of learning and collaboration. By tapping into different pools of talent and expertise while avoiding biases and stereotypes that may exclude or disadvantage certain groups or individuals, you can create a positive and supportive environment where each team member's strengths, perspectives, and contributions are leveraged.

A diverse team will increase the likelihood that the solutions generated hit the mark. Teams that are not diverse, inherently have blindspots. There are many aspects to diversity: male/female/age/race/ethnicity. Diversity in skill sets and, in some cases, departments is also important. There are two approaches that come to mind. 1. Be intentional about assembling a diverse team. 2. Take an initial shot at assembling your team. Then, if there isn't enough diversity be sure to adjust the team composition.

Finally, you need to review and adjust your LGF team as your facilitation project evolves. You may encounter new challenges, opportunities, or expectations that require you to modify your facilitation process, goals, or methods. You may also discover new strengths, weaknesses, or needs of your LGF team members that affect their performance or satisfaction. You may need to add, remove, or change some roles or responsibilities of your LGF team, or provide additional support, training, or coaching to your team members. You may also need to revisit and update your team charter, communication, and coordination mechanisms. You should regularly monitor and evaluate your LGF team's progress, results, and feedback, and make adjustments as needed to ensure your team's diversity, effectiveness, and well-being.
