Trello is one of my favorite task management apps as a virtual assistant. I love using Power-Ups! They make task management so much easier. I use Calendar View for deadlines, Card Aging to make sure nothing is missed, and Custom Fields for all the nitty-gritty details of special projects. I use notion, it really helps me especially with the application of the PARA method, we can monitor tasks that must be done now and still monitor some activities that are important and will be useful in the future without losing tracking or progress. Because I often forget things that are the big picture that must be achieved according to my current vision.

In my experience, I've found that communication management is just as important as a proper application. If there is no guidelines how often you should be available on the app or in what timeframe you should have answered by. There is vast difference if you answer within an working day or in a couple hours. Otherwise there can come unneccessary friction within your respected team.

Most companies use common communication platforms like Viber, WhatsApp, Skype etc, but most communication platforms cannot provide long-term conversation history, so you should use it only for short messages and not for official communication. You need to maintain official mail or hard copy for official communication.

One tool that I have found extremely useful from a project management and workload management perspective are the email/calendar analytics that are tied into the outlook platform. The top collaborators, time spent on emails, and amount of time consumed by meetings creates an incredible perspective. Staff are often getting pulled in directions that are unseen and this creates a ton of clarity to that.

Project management tools are excellent when used efficiently, but the importance of clear communication about team goals and priorities cannot be overstated. Too many priorities means nothing is truly a priority, and this can leave the team feeling overwhelmed and unorganized, no matter what tools are in use. Good “people management” must come before effective project management.

In addition to project management tools, I highly recommend quarterly plan development/assessment and setting quarterly goals. Scheduling a quarterly assessment allows for reflection on what is or is not working, is the project on task, allows for proper course correction if not, and also promotes new ideas and collaboration to enhance a a project.

Beyond the specific tools mentioned, it's crucial to foster a culture of adaptability within your team. Projects often evolve, and the ability to embrace change is vital. Encourage a mindset that values continuous improvement and learning from both successes and challenges. Regularly seek feedback from team members on the effectiveness of the tools and processes in place, allowing for adjustments as needed. Additionally, consider the importance of data security and privacy when selecting and using project management tools. Ensure that the chosen apps adhere to necessary security protocols, especially when dealing with sensitive project information.

When my team lags behind I usually initiate well organised team meetings, to assess project progress, address challenges, and collectively devise solutions. I foster transparent communication within the team, ensuring alignment of individual roles with respective strengths. We collectively uphold a proactive approach to streamline processes and enhance overall project coordination.

Talk with your staff. Ask them for their input. What do people do currently to track tasks/work/etc.? What are people's preferences in communication styles? Figure out a mixture of what is needed to support your staff to be successful. Some people are great with Excel or Outlook reminders/calendars or apps. Some people prefer email or phone calls. Others it's pen and paper. As long as they can figure out a system to communicate effectively with their team and they can track their work and what needs to be done, and they still make it to the end result, great!
