Your team is scattered across different locations. How do you ensure they stay connected and motivated?

We've all adapted to remote work, especially during the pandemic. To stay connected and motivated, we created group chats, held virtual meetings, and even sent gifts to each other via delivery services. Engaging on social media by liking each other's posts also helped maintain a sense of connection. There are so many ways to keep in touch and support each other. We just need the desire to do it. Be proactive and intentional about fostering meaningful connections ??

With my team spread across different locations, I schedule regular virtual check-ins. These meetings are an opportunity for us to connect on a personal level, share successes, and address any challenges. We communicate constantly using collaborative tools like Slack and Zoom. These platforms have channels dedicated to different projects, making it easy for everyone to stay informed and engaged. I ensure that achievements, big or small, are recognized. Whether it's a shout-out during our virtual meetings or a small token of appreciation, acknowledging hard work keeps the team motivated.

Effective remote team management requires many puzzle pieces to be placed together correctly. Whether collaborating or getting the right idea of where you are standing in project completion, having a workforce management tool helps a lot. But in the end, you need to playfully use tech with genuine human interaction to embrace connectivity & motivation.

To maintain a connected and motivated team across different locations, strategically leveraging technology is essential. Use Microsoft Teams for structured communication and collaboration, ensuring regular virtual meetings to align goals and foster teamwork. Complement this with timely phone calls, texts, and WhatsApp messages to address immediate concerns and provide personal support. Employ project management tools to streamline coordination and deliver real-time feedback, enhancing productivity and engagement. This approach not only bridges the physical gap but also strengthens team cohesion, driving efficiency and achieving shared objectives.

Make time for and encourage team members to get together for virtual coffee, and non-work related chats. Taking time at the front of a meeting to check in is also really useful. Be aware of different time zones, especially when you work internationally. Try and mix up meeting times so no one person is always inconvenienced (unless it works well for them). If your company has a particular type of culture, make sure that through team interactions and 1:1's that you're walking the walk and not just talking.

Setting clear goals is crucial for a dispersed team to stay focused and aligned. I begin by defining SMART objectives for both individual and team tasks. Communicating these goals transparently during regular virtual meetings ensures everyone understands their roles and responsibilities. Using collaborative tools like Microsoft Teams and shared project management software helps track progress and provide real-time updates. Regularly reviewing and adjusting goals as needed, offering constructive feedback and support, keeps the team motivated. By setting and maintaining clear goals, I ensure that every team member is aligned with the broader organisational objectives, fostering a sense of purpose and accountability.

This is really important especially across diverse time zones. Create a cadence for updates and check-ins that keep the most important deliverables top of mind. Have a team space for project check-ins and status.

Trust your team to get the job done. If they need to step away during normal business hours (for them) to take care of something personal, trust that they will still deliver on their projects. If they're having issues with time management, set up a few extra calls just to check in and see how you can best support them. Make sure they have the resources they need to get the job done.

I'm not sure you can over communicate with a remote team. A regular comms cadence can really help a team stay focused on top priorities. (Yes, you CAN overdo it, but it's hard). I've always told every leader I've had: The more I know, the better I can do my job. Make sure your team has all the information they need to succeed.

When your team is scattered across locations, then providing support on a consistent basis becomes crucial. Establish a line of regular communication which can cover multiple points such as understanding how they're feeling, are there any challenges which would require your intervention do they have the required resources to complete their work effectively. Having regular conversations, even if through virtual mediums can help to build a stronger team bond and potentially remove any feelings of isolation associated with being the only one at that location. One more method would be to encourage team members to keep connecting with each other in their individual capacities, thus facilitating an environment for effective collaboration.

Be available to your team to provide support and problem solve any issues that come up. If you're in a drastically different time zone (EMEA as opposed to the AMERICAS), set up a local resource that can help the team if they run into issues when you're offline for the night. Setting up systems of support is better than an individual who can become a bottle neck.
