Your IT team is bogged down by too many software tools. How can you streamline your workflow?

To streamline the workflow in the IT team overwhelmed by numerous software tools, start by conducting a comprehensive audit of the existing tools. Identify redundancies, inefficiencies, and areas of overlap, and prioritize essential tools that align with the team's objectives. Consider consolidating functionalities within a single, integrated platform to reduce complexity. Involve the team in decision-making to ensure the selected tools meet their needs. Implement training sessions to familiarize team members with the consolidated tools and promote adoption. The journey start with assessment of current available tools and their bench marking to current industry standards. Most of the tools of similar nature might be providing same functionality but differentiation might lie in their ease of usage, ability to solve problem in the current context of organisation, competitive pricing if any used to procure them .The ultimate success lies in the clear assessment of value created by these tools on the ground for similar size and related business companies . Knowing and acknowledging your current context in terms of culture, IT maturity, adaptability to new tools,problem which needs to be solved is important and the first step in the direction

The goal of having tools is to make work easier, faster and better by making them work well together. However, this is not the case sometimes. This is how I utilise and optimise my toolkit : 1. Look at all the tools I use and identify which ones I really need and which ones I hardly use. 2. Find tools that can do more than one job- means I don't need lots of different tools for different things. 3. Connecting my tools to share information, hence saving time from moving things around. 4. Have some rules on how to use the tools, so everyone's on the same page. 5. Find ways to let computers do repetitive tasks - frees up time for more important things/tasks. 6. Always ask people how the tools are working for them and make changes if needed.

We all need tools to do our jobs, some legacy tools don’t get retired when a new tool is bought into replace it / them I worked with an IT Organisation that had 400 IT Tools, we actively managed them down to 40 within 12 months Remember Fools with Too Tools are still Fools because nobody can be effective with too many tools. Also you can reduce your TCO and increase your ROI with the right tools for the right jobs

The most effective teams I've worked with have tackled the ever-growing list of tools by adopting a "guru strategy". Do this for yourself by taking your tool inventory to the team and ask "which tool(s) should we specialize in?" Team members who have a high need for the tool are likely to become experts, so can/should agree to become the guru for others who are not going to do the same deep dive. In this way, we can leverage our collective in-depth tool knowledge, without every member of the team having to become an expert on every tool.

If your software toolkit has become bloated, it's likely because you've taken a best of breed approach for many separate areas. While each of your tools may be the best fit for its respective function, a sense of bloat means that they aren't well-integrated. (Imagine a glove stitched together from parts of five separate gloves, each of which was the best fit for one of your fingers.) You'll need to identify your most important needs and try to make the tools for those areas flex into adjacent areas. For example, you might use the Learning module of your HCM system even if it isn't as good as another product you own. By reducing complexity and increasing tool integration, you can optimize the whole at the expense of carefully selected parts.
