In my opinion and experience, Project Update Reports are a key metric whereby stakeholders can ascertain progress - they are a key output of successful management. Any doubts to their validity need to be addressed quickly and effectively. Faith in your ability to deliver the project must be restored. I would start by discussing the reason for the lack of faith - is there an alternative format that can be used? Are progress photos/videos being used as additional evidence? Can you offer and facilitate regular site/project inspections as an addition or alternative? - Technology can help here. The key to any successful project is effective communication and this needs to be maintained throughout the project at all cost.

It's appropriate to include progress photos and a concise written description of the work completed, in progress, started and that which is scheduled to begin in the upcoming 2 week period. If there is a focused concern, make extra effort to accurately document if any unforeseeable delays have been encountered and if delays have been an issue then provide a recovery plan and schedule.

Listen actively: Schedule a meeting to understand their specific concerns and reservations. Acknowledge mistakes: If there have been errors or omissions in previous reports, own up to them and explain how you plan to rectify them.

Your body of evidence is everything. If you cannot demonstrate it, it may as well not exist. Use every opportunity to provide supporting evidence including recordings, pictures with time and date stamps and in the case of ITPs and other record keeping documents use trusted witnesses. In the case of testing, in my experience with foundation testing, there is no evidence left behind to say if I was there or not. We remedied this situation by video recording each test pull with the introduction being the date, time, location of the test, tonnage being pulled, and any other notes. The video was then aimed at the gauges for the entire duration so there could be no dispute as the authenticity of the results.

It's always possible to give a better clarity on reports, through visual representations. BIM Project Management plays a crucial role here. Concern of stack holder is vital for project.Pin point attack is needed to eradicate doubts of stakeholders rather than wasting resources in comprehensive approach .Manager has to be vigilant about remours on the projects which are main cause of doubts.As it becomes visible that objections are being communicated from concern directly or indirectly, these to be listed and a formal action taken report to be prepared and circulated among stakeholders and thier objecttions and feed back to be collected .This feed back obtained after putting your ATR before stakeholders is more important and to be steering factor for execution of project.Site visit of stakeholder is also helpful which can be arranged to communicate transparency.
