The best way to handle this situation is to bring everyone to the table for a transparent discussion. Start by asking each person to write down the objective of the project in their notes. Once everyone has done this, have them speak their understanding out loud, in front of the group. If there’s any confusion or conflicting ideas, this method brings it to light, helping to resolve discrepancies without pointing fingers. By fostering open communication, you ensure that the original intent of the project is maintained and that everyone is on the same page moving forward.

In my experience, project delays often happen because of poor communication. Many times, people think certain information isn’t important for a particular department or person, so they don’t share it. However, later on, it turns out that the missing information was critical, and the project gets delayed because someone wasn’t aware of it. To fix this, it’s important to ensure that communication flows properly from top to bottom. Leaders need to make sure that all relevant details are shared with everyone connected to the project, whether directly or indirectly. This prevents misunderstandings and keeps things on track.

Inadequate communication is one of the main complaints we hear during project retrospectives. Maybe the project manager didn't communicate in the appropriate way, at the right time, or correctly! Proficiency in communication is vital for the triumph of any enterprise. Have a clear communication plan, speak in plain and understandable terms, select the appropriate channels for communication, and involve stakeholders in the process to overcome all of these obstacles. Make an effort to dismantle silos, remain receptive to criticism, and be prepared to alter course if necessary.
