Rethinking priorities is of great value when your budget is slashed. A slashed budget does not always indicate no budget. When there is budget enough to allow for the existence of an event you must pull together all your people and resources, then make an effort to move forward activating the process and finishing touches of your event. If the low to no budget process cannot work, then the event must be tabled to a future date.

Understanding what the must haves and the nice to haves is crucial here. Do you want the space to really stand out from the crowd or is it more about the experience within the booth? Put the money where the passion and value lies. I am not saying forget about the others, just be more creative with materials, scale, etc.

Getting on vendor lists has a level of importance based on how advantages are seen for personal business or future business decisions. Being a vendor is promoting in setting the pace by allowing you or your company to have advantages to promote products and services useful to clients and customers. Worth of mouth from others positively seeks to produce a long-term effect.

I agree with volunteer/intern based help! Involving your community is a great way to show you are supportive of their goals as well as enriching your community. You are providing great learning experiences for the future workforces, those looking to gain CPE credits, and at the same time off-loading some of the operational strains of running an event. Win win.

I like the idea of engaging volunteers and even explore a charity and offer to make a donation as a thank you for their help. I also like the idea of student volunteers to earn volunteer hours towards their high school requirement. Another idea is to look for employees looking for development and networking opportunities.

Vendors are usually open to doing things on trade, I've noticed. Also, teaming with another company and using their channel marketing funds in return for your coordination and brand recognition is a great way to offset costs.

Look--things cost money. Creativity, volunteers, leveraging vendor relationships, that's all wonderful. But they're tools that still come with a cost, even if the 'cost' doesn't reveal itself until later on. We always want to swoop in and save the day, but we also have to stop and think about the big picture too. Our clients have a limited understanding of events and the realities of what goes into the work we do; that's why they've hired us. If we want to invest in the longevity of the industry, then we have to start reeducating clients about the realities of event costs. Sometimes, you can't afford what you want. That's okay. Help set a realistic goal for next year and provide them the best they can get with what they have for this one.
