Who's operating as the Data Flight Controllers in your org? Most of the time it's IT, but marketing and other groups have certainly shared and had data shared with them too. Getting guardrails around a data minimization strategy is very important to ensure you're living up to best practices legally and morally by your customers.

In healthcare where I've done most of the contractual data related work in my career, there are very strict legal and operating agreements like a Business Associate Agreement (BAA). A BAA grants authority for a group to use and access a healthcare organizations data, including Personal Health Information (PHI) of members. That authority comes with the legal responsibility to treat the PHI data as if the 3rd-party is the healthcare organization, in other words to always protect it completely. That level of protection is expected with industries like healthcare, pharmaceuticals, and financial institutions. Their sectors have a lengthy contracting and onboarding process reflecting the level of due diligence and scrutiny you should expect.

I've heard from colleagues who work in the 3rd-Party Risk Management space that the way contract and Terms of Service monitoring typically occurs is an annual attestation that should happen in a companies Trust Center, housing risk management and contract data. They also said the average Fortune 500 company has hundreds of SAAS and software vendors. Once a year Trust Centers send out a compliance request notice to their vendors. Those vendors then sift through thousands of requests from all of their customers. If they haven't responded digitally by a certain time, paper forms are mailed out en masse. See where it could get messy? I'm glad my colleagues are tackling it. When they explained it to me, I was shocked.
