It’s a good practice to know which 2-3 data points or summaries you want the audience to take away at the end of the presentation. This makes it easier to structure your presentation accordingly and reinforce the points at the end. Always remember, slides are just a tool to convey the message and the delivery of the message and takeaway is the crucial part of any presentation.

Clarity of purpose is the key an effective presentation. It ensures that the right content is included and optimal amount of time is spent on different sections of the presentation.

In my experience, most audiences find comfort in data because it assures them that there is a scientific method backing up the presentation. At the same time, those audiences don’t want to analyse data put up on screen, they want to hear your story, your conclusions based on the data. Make sure your audience walks away with a clear understanding of the story you are presenting and not just with the figures and the charts.

Choice of the right format definitely depends on the content. But I would say that the composition of the audience also must play a significant role in choosing the mode of presentation. The level of detail must depend on whether the audience comprises domain-experts, lay-persons, students or a mix of different groups.

Breaking lots of information into short, life-related stories is a powerful way to make complex concepts more relatable and memorable for your audience. Look for real-life examples, or personal experiences that illustrate each key point. These could be stories from your own life, stories shared by others, or examples from history, literature, or popular culture. The goal is to deliver the information in a memorable and easily understandable way.

Weaving a story with the content would ensure a deeper engagement with the audience. As the experts say, begin with a hook. In my view this should ideally be a topic of current relevance that all are talking about. Once you get the audience hooked to you, it becomes easier to transition to your topic.

From my experience, you mostly present your data urging your senior management to take some actions or to make them aware something which they might not know. You would have done a lot of efforts like Exploratory Data Analysis and would have spent a lot of time at setting up the data. But one thing to note is what our audience are looking for. Senior Leadership team have less time and also they want immediate pointers to work on. So our data story should focus on main things and actionable items and what is expected to change something positively . So having a lot of data you need not explain all the corrections you made, you can use important things to carve out the story and tell the story based on the type of audience.

People tend to remember stories and what they can imagine more than data and direct information. Representing the data in an imaginary story setup or telling the story around the process that resulted in these represented data will help make the presentation more engaging and remarkable.

By giving infographics and visual representations we can make data a lot more interesting. And by adding compression and stories you can be the star of the meeting.

It is very essential to use the right kind of visuals. Visual representation of information can make it easier to drive home a point than merely overloading a slide with numbers and words. Particular attention must be given to size of fonts in a figure or image. Colour choices must inclusive to factor in colour-blind individuals.

We should take care that it depends on the setup of the presentation; if it is a board meeting for example, it won't be a simplifying game or funny workshop but it can be a short discussion about every board member's expectations or a previously discussed forecast before starting our data presentation!

'Practice makes a man perfect'. Specifically for a beginner, timing a presentation and practice is must. Rehearsing beforehand would give you an idea of where you are fumbling, and helps one in overcoming that, also it boots your confidence manifold.

This allows for clarity while also spotlighting key trends. Ultimately, the goal is to foster understanding and enhance information retention among the audience.
