You have an introverted client. How can you make sure they feel heard?

This one is easy for me, as I am a socialised introvert myself. That means I adapt to social occasions, but I rarely enjoy it. It is important to know, that introverts get "drained" off energy while being among other people. So pay attention to these signs. It's not boredome, we just feel overwhelmed. Try to establish trust. Truly listen to your client. Make sure to start with comfortable questions. Coaching questions and active listening skills help a lot. Do not try to find out about client's personal life or feelings at the beginning of your business relationship but have meaningful conversations. Be aware of different comm. channels - usually introverts prefer written comm. and on line tools to face-to-face or auditive communication.

With introverted clients, active listening is key. Ask open-ended questions to encourage them to share their thoughts and perspectives. Allow for pauses and don't rush them. Demonstrate you're truly listening by reflecting back what you've heard. Build rapport gradually by having authentic one-on-one conversations before group settings. Accommodate their preference for written communication when appropriate. Above all, create a safe, non-judgmental space for introverts to openly contribute their valuable ideas and insights.

The key to breaking introverted people out of their shells is abandoning small talk as quickly as possible and finding topics that interest them. Ask questions and do your homework. Remember, introverts don’t hate communicating, they’re just not energized by surface level conversations. Find the stuff they’re passionate about, email or text regarding simple account maintenance, and keep the meeting groups small and you’ll quickly find that these folks will pick up your call every time.

Ask them about their preferred method of contact, provide them with clear and concise information, and avoid unnecessary interruptions or pressure. There are a few ways to build relationships with introverted customers: 1. Build rapport. Ask questions about what they are interested in or like to do.

Human connection would not be the same if we were all wired the same way. Where one may find 'get to know you' style conversation personable and engaging, another may find this overwhelming and too revealing too fast. When working with an introverted client, find what they like to talk about. Everyone has that back pocket of passion topics, so finding those as quickly as possible will help ease any unwanted tension in the conversation - leading to a more natural and open conversation about their needs and goals for the event.

Asking how my clients prefer to receive information is part of the onboarding process. I will outline my typical process and approach and ask the client if that works for them, and how I should deliver updates: email, screen record, zoom camera with cameras on vs off etc.

Being self-aware enough to acknowledge that your preferred method of communicating may not be there's is important. 1. Written Communication - This will be your emails and texts; documenting the process in a trackable way is needed, so you can reference back, stay aligned, and also giving the client time to have a response with some thought. 2. Verbal Communication - Phone calls, in person meetings, video calls; It is not guaranteed to be working with someone in your proximity, so having a way to establish human connection will be needed in some capacity. 3. Both - This is the golden ticket; Having some level of verbal communication allows for rapport, trust and connection to build, but don't forget to document to look back on progress.

One thing I find helpful is telling the client what I am going to give them, so they are prepared, before I present them with any options. Going off of the ask from the client, creating 3 or so well thought out options with evident differentiators helps with decision making. Make it easy for them. From there they can pro cons the choices on their own time, but the key points are there for them already, easing the overwhelming feeling of finding where to start.

I give the client options and ask for their opinions or ideas. If they are introverted and not responsive enough I still thank them for being a sounding board and inform them of the direction we’ve decided on.

To engage them effectively, it's essential to create a supportive environment where they feel comfortable sharing their thoughts and feelings, and this can be done by establishing rapport with client. Encouraging self-reflection, fostering self-awareness, self-confidence, and teaching effective communication skills are key steps in helping introverted clients.

I work with people in a compassionate way so they are creating their own goals and outcomes. This ensures their commitment in the long term. Many empaths may say or agree to things in the moment to avoid confrontation if they feel triggered by someone asking them to comply.

In my field of work the majority of the experience in medicine is not being heard, or given the time to be heard. The initial consult is very important to establish trust, which allows the patient to reveal their true self. How they feel, their experience, and have those experiences validated. By listening, then explaining according to allopathic medicine, or my traditional system of medicine, why that makes sense they are feeling something — it fosters trust and deepens respecting a process of opening up. Everyone needs time to feel safe, for some it’s within that initial consult. For others, it’s as they experience relief in their system from imbalances being addressed. Either way, your job is in relating and respecting them.

Planning a "once in a lifetime" event is a lot of pressure on anyone, but can be especially taxing on introverted clients. From the very top, help them understand that what's standard or "traditional" for events isn't as important as what is going to make them feel confident on the day they're planning. Maybe guide them toward a smaller venue so their guest list can't be too big, communicate with them about how exposed they want to be to a crowd (maybe they don't want a head table or a first dance), and help make sure they have an exit strategy if they need a breather.

One should always respect the boundaries drawn by the individuals, everyone has their own comfort space. However in the case of an introverted personality creating a conducive environment, having tailored conversation as per their need and comfort would help them in opening up with you and create that relationship where they can speak and share their thoughts freely

Making everyone comfortable will always give you amazing crowd regardless of their personality, once they felt their are safe & comfortable everything will follow

Environment is very important. I create a quiet, comfortable, and calming space for my clients so they can feel safe to open up and share their needs.

I actually found this very insightful. In the midst of planning, some event planners sometimes enforce things on the clients because they know it has worked before. However, sometimes it’s about the clients needs and not on what has worked. As event planners, we all face challenges, and introverted planners can find extroverted clients particularly draining. The good news is, with a little adaptation, we can create a successful and positive experience for both ourselves and the client.

Introverted clients can easily be spoken over by partners, parents, or other people in meetings. Even if you're aware that it's happening, calling it out and trying to redirect the conversation can sometimes make things MORE uncomfortable. During the planning stage, I will sometimes start a separate conversation (via email, text, or over the phone) with the more introverted client, recognizing that I think they had questions we didn't get to, or bringing up something I want THEIR opinion on. Others can always be looped back in, but taking the time to connect directly with that client in a quieter channel can help build their trust in you.

Not everyone is a social butterfly, keep the engagement going and provide plenty of opportunities to respond and interact with you.

Clients needs are prioritized in this business. I’d definitely ask about his/her preferred ways of communication and made sure to follow them strictly without trespassing into the discomfort zone for them. So: ask, hear, implement and submit ????

Figure out what there strongest content format is. Is it video, audio, written or images and graphics. Take that information and use it to help create the other content. When your client can operate from a strength it should help them feel more comfortable moving forward in new or different directions.

In dealing with clients who may have a less communicative approach to their project, I have found that in no way means they are not engaged. I have found being proactive in including them on options in decisions or choices on projects to promote the feeling of inclusion and keeping their vision on track. The difficulty of a client who does not easily express their feelings definitely has opinions and it's up to you to engage with them to ensure they are understood. If decisions are not what you can offer then keep them informed of your progress more so than most. If you don't hear back that's ok it means all is well. You'll hear from them if not!
