What are some tips for capturing a live event on video?

I'm writing this as an editor. 1. Editors need at least 1 locked-off wide 'safe' shot which we can go back to, if there are issues with the other cameras. 2. If there are two cameras, the second should be a tighter shot on the person speaking and should be static. 3. A third camera could cover reactions of the host, audience or CU hand gestures. 4. Audio quality is key. Try to make sure the participants have radio mics without rustling. Check for any external noise such as aircon. A second stationary mic that covers a wider area is helpful, as back up. 5. If the cameras can be timecode synced, that helps a lot in the edit. Using the same white balance too. 6. Access to any slides to insert in the edit is very helpful.

As already said, arming yourself with as much information as possible about the event is key. Sound and lighting is also a critical element to a live event. Knowing beforehand whether you can tap in to the microphones or if you need to supply/arrange a solution is important. Same with whether lighting is supplied and managed or if you need to supply and operate.

2 type of live events. Those that are shot then cut later into a show or presentation; those that are streamed or sent via satellite out 'live'. With both types the capturing of the material cannot fail. No 2nd chances. I'm going to cut to the chase and assume no crew and you're doing it 1-man-band because that's 75 percent of what is going on out there. You want to make sure that whatever you were filming comes in clear double check also to clean your lens before filming anything and make sure you have your shot set up to get the perfect shot. Equipment for an event recording will depend on what exactly you need to be capturing. Is it a vibe video or a one angle recording of the entire event? Are you filming interviews or just broll interactions? Based on what you need to capture will dictate what you need to bring.

For a straight forward conference, two cameras on tripods, one with a 24-70mm lens and another with a 70-200mm lens, are minimum requirements. The addition of a third (or even a forth) camera can help depending on the seating arrangements or stage configuration. One of those 3rd or 4th camera can be used to capture audience reactions also important, as you are then in a position to use some of those shots as cut aways on an edit or live stream. A switcher so you can live mix your cameras and record the edited video or stream it online. Good sound capturing a must, so ensure you have cameras you can gen-lock time code. Lighting equally important. Ensure shutter speed is set to avoid flickering as screens may have different refresh rates.

Planning is important but live events are often unpredictable. Having a degree of flexibility will help you deal with last minute run sheet changes etc.

My best advice is to mount several cameras remotely around the event to maximize coverage. These would supplement the ones you operate. Use scan, pan and zoom options in post to make the lock off remote cameras have motion.

Plan, plan, plan. Using all the information from the organisers (the schedule, key speakers, partners, vital moments, the theme and purpose of the video, etc.) plan out what you are filming. This can be a script or a storyboard or a bullet point shot list. But plan it out. What shots do you absolutely need? Do you need to use camera movement? Where are the best spots to film? Plan it all.

Without fail, EVER time I over prepared for a film shoot, it went much smoother. The more time spent fine tuning the details in pre-production the better your production days will be. As a Director with the movie in my head needing to be conveyed to so many other people involved in the production, STORYBOARDING is key to getting that movie in front of everyone, as close as possible, prior to it being shot & editing. Don't sleep on Storyboarding or any of the other sections of pre-pro. If you have the time start as EARLY as possible. Less stress=Happy set!

Always have a camera set to a wide shot and then use your additional cameras for mids and close-ups. As these are more likely to have their zoom lenses adjusted throughout the event/conference, your default wide shot will allow the editor to cut to a wider shot, whilst the other cameras are zooming in or out.

While you should have a detailed plan, things change. Be in the moment and watch for those un-plannable moments. This also means being flexible with how you film, as not to block the view or disturb the audience.

As a producer this may the be most important point. A live event is a living, breathing thing, and even with prep and rehearsals it can, or in some cases is designed to be, always different and new. While it is imperative to prep as well as possible with shot lists, alt shot coverage, etc, be ready prepared and calm when something does go off script. Sometimes this is when the best action happens, and being nimble, cool under pressure and prepared to react is critical in delivering a great final piece of content.

When I’m shooting a live event, I first check out the place to know where to shoot from. I keep my gear simple but effective to get great shots without much editing later. I plan for the big moments but stay ready to catch unexpected ones too. Capturing the vibe of the crowd and the whole scene is important, not just the main action. Good sound is a must, so I use external mics. I always carry extra batteries and memory cards. Moving around for different angles is key, but I try to be subtle about it. After the event, I look over my footage to learn and get better for next time.

You need to maintain creativity and flexibility. You need to be able to support stress and still be professionnal. And never, ever lack on preparation (preproduction) and on snacks!

I start editing by culling footage and organising it by content, for example clips of the audience clapping. I usually edit with the music, so not only to the beat but if there's a special sound or a lyric I'll try to match the edit to it. Editing should be creative, you're bringing the story together.

One thing that will help here is if you are taking shot/script notes during the event. Be your own 'script supervisor' and jot down any key moments live. They may get left on the cutting room floor in the end, but saves you time when building out your initial cuts, you already know where the good stuff is to jump into.

If the former, you may find it more helpful to categorize and order cuts from most to least exciting/important. If the latter, be sure to incorporate the chronological order of your footage when categorizing cuts.

First of all, you need to get a written contract with your client. In this contract, get an approval for the promotion. Ideally, you need to promote on YouTube, and after, on your social medias. Hastags are interesting, but the most important, like in Facebook, are Facebook groups, that are linked to your event/video. It sure will gives you more traction to your video.

On platforms like LinkedIn it's useful to tag the people and companies from the event. Furthermore it might make sense to implement the video in a Blogpost or press release to reach more people

It took some time to re-establish the feed. Fortunately, I had the foresight to make sure I recorded the event in (2) places: on an SD card and to my hard drive. After several heart-felt apologies to the event sponsors and to the viewers, I was able to repost their event in full to social media the following day. My advise is to capture/save the footage in more than one location in case something goes wrong and be prepared to eat humble pie, if necessary.
