When working on long-term projects that may fall outside of your normal scope of work, add an action to your daily task to complete. If you have a properly laid out schedule, you can track your progress toward the milestones. I find that OneNote is a great tool for keeping track of the myriad of projects that come my way along with my daily work. On my daily notes page, I also have a small tracker for these projects that I can refer to in order to keep track of what I need to do for that project alone. I may have five projects going at a time that have the next actions listed as check boxes. Plus, I can make it look as fancy or as simple as I want to get my attention depending on the criticality.

There are several techniques for managing distractions or breaking work into manageable sections (e.g. Pomodoro). However, Chris Bailey explains that productivity is also part how much focus, time, and energy you can put into a project. Some days, your energy and attention just can't focus on the heavy tasks and that is fine. Devote the energy you have to the smaller tasks that you can manage. You are still making progress! Just ensure that you are reaching the milestones on the heavy tasks as well. To do that, block out personal time to get it done. You are seeking to get into a state of flow and concentration that will help you complete the work faster and better.
