You should always be polite, and act natural. You should ask simple questions. There are so many ways to prepare your self for the meeting. In the age of google and AI, you can always do a simple/short research about the region from which suplier is coming from. Build a trust, be on time, and after some time you will have steady relatationship with any supplier. At the end, you both are having a meeting about bussiness topic's, so you will have one for the start.

Furthermore, the points and agreements reached must be recorded in a written record to avoid confusion or misunderstandings later. Finally, the negotiating team must have roles assigned by specialties and a leader who can consolidate the options and achieve internal consensus.

In the world of import and export, do not test the patience of your stakeholders by asking questions that are unprofessional which only shows you are not aware of the process or the cargo your selling or purchasing. Keep yourself updated about the cargo, new laws and regulations, and learn how to talk to clients that are open to new options at the time of crisis. We are representatives of our country in international affairs, making habits of wrong questions and going out of accepted procedures, only bring your class of work down to the level that no one is willing to work with you. Word of advice, if you know that your offer has the best possible features in the market, do not hesitate to contact and ask for the reason for failure.
