What are some best practices for writing clear and respectful emails to diverse audiences?

Effective communication with diverse audiences is key to building strong relationships. In my coaching practice, I guided a client through refining their email strategy to better connect with international partners. By focusing on clear, respectful language and adapting tone to suit cultural nuances, we significantly improved their email responses and engagement. This approach not only strengthened their professional relationships but also enhanced their reputation as a culturally aware leader. Helping clients refine such skills builds my brand as an expert in effective, cross-cultural communication, demonstrating the value of thoughtful, inclusive strategies.

Tailor your tone, structure, and level of detail accordingly. For instance, when informing about a policy change, maintain clarity and brevity. When persuading to purchase a product, adopt a positive and engaging tone. When apologizing or expressing gratitude, sincerity and respectfulness are paramount.

Every email should convey one primary message or request. Before writing, ask yourself, "What is the one thing I want the recipient to understand, do, or feel after reading this email?" This helps in maintaining focus and avoiding unnecessary information.

I am a big fan of the starting sentence being "I'm getting in touch with you because..." I like having the context of what we are discussing and what is expected of me. I am also always a champion of the email signature including an accessibility statement. Mine reads as follows: Please note that I have a learning difficulty, which may lead to occasional spelling, grammatical or structural errors within my written communications. If any elements of my email do not make sense, please get in touch with me for clarification. Font, font size, colour, screen reader accessibility, etc

Follow the inverted pyramid model. First paragraph should clearly mention the reason for writing the Email Second paragraph should contain the content/ data/ facts/ reasoning Etc., but not beyond 4-5 lines or bullet points last paragraph should talk about the action you expect the receiver to undertake after reading the Email

Context also includes being mindful of different time zones, cultural norms, and holidays. Avoid sending emails at times that might be inconvenient or intrusive, like late at night or early in the morning in their time zone. This respect for their time demonstrates consideration for their work-life balance. Be aware of national and religious holidays in your audience's countries. Avoid scheduling essential deadlines or meetings on these days. Mentioning or acknowledging these holidays in your emails can also show respect and recognition of their cultural significance. This approach shows respect and understanding of your audience's diverse nature.

This also literally means "choose your language". Which language should you write in? English is typically seen as the language of global business, but that doesn't necessarily mean that all your communication will be in that language. Things to consider: 1) Does your company have a language policy (official or unofficial)? One way to find unofficial language policy is by checking your computer's Word settings. Which language has IT set as default? 2) Who will be reading your mail? Will it be forwarded to people who do not speak the language you want to write in? 3) What are the language abilities of the person you are writing to? What language do you speak together? Make sure you write at the appropriate level for that person.

And make it plain language. You’re not impressing anyone with jargon. Accessibility means communicating in a way that is clear to your audiences, not trying to confuse them.

Aside from choosing terminology that is not exclusive of a specific culture, acknowledge that your audience may have different levels of understanding, concerns, and questions based on their experiences and expertise. Ensure that the information provided in the email is straightforward and comprehensive. Avoid jargon or technical terms that might not be universally understood, and provide explanations when necessary. Aim to cover all aspects of the topic to preempt any questions.

One tip that has been very useful for me is this. If I do not have anyone around that is native to a particular culture, I invest a little in research on how should I address the person in particular culture. Sex, age, career, position, etc. There can only be a first contact, try to empathize as much as possible.

Universal language is English. However more focus shall be on the assertive language to be used in Email writing. Usage of right words is crucial as its free from facial expressions and body language. Words take 100% meaning in Emails

Understand the formality level and address styles preferred in each culture. In South Korea, for example, formal language and honorific titles are almost customary, whereas in the U.S., first names might be acceptable. Clarity is essential, but avoid oversimplifying to prevent seeming patronizing. Avoid humor and idioms as they usually don't translate well across cultures. Adapting your tone and content shows respect and awareness of cultural norms.

How accessible is your email? Could you email be read by a screen reader for example? Are you using too many emojis and images that are potentially excluding a segment of your workforce? Is the language you're using neurodivergent friendly? Companies should consider not only the accessibility in terms of screen readers etc but also in terms of the language they're using and if they're relying too much on nuance which could create stress for employees, especially those of us who are neurodivergent

Research from the field of intercultural communication, for example, the concept of "Communicative Accommodation Theory" (Giles, H., Taylor, D. M., & Bourhis, R. (1973), supports adapting your email style to the recipient's cultural norms for effective communication. This theory suggests that mirroring the communication style of the recipient, whether it be directness, formality, or elaborateness, enhances mutual understanding and rapport. Adapting your style shows respect for the recipient's cultural communication preferences, helps bridge cultural differences, and enhances understanding.

I would avoid sending too many emails with pieces of information that could be placed in just one. This comes back to planning your communication. Be strategic, don't waste your recipients' time.
